About The Position

This position is responsible for dealer performance, relationship management, and funds collection associated with refund cancellations. The Dealer Communication Coordinator will primarily involve client/dealer external communications and refund collections aimed at dealerships. This includes gathering proceed-level data and monitoring the overall performance of an assigned dealer or dealer network. The role may require collaboration with client Dealer Relationship Managers to report escalations. The Dealer Communication Coordinator will be responsible for maintaining ongoing dealer relationships, representing both Allied Solutions and its clients. Additionally, this position involves educating dealers on the Refund Plus program, their responsibilities in the process, and continuous follow-up and monitoring of their performance.

Requirements

  • High school diploma or GED required.
  • 3-4 years of work-related experience required.
  • Access to outside programming systems needed for documentation work (e.g., RFP program, Cox automotive, client documentation programs).
  • MS Office Experience including Excel and Power BI.

Responsibilities

  • Inputting data into various technology platforms to execute automated processing.
  • Documenting the cancellation refund process through denial or disbursement of funds.
  • Reviewing intake materials processed by other parties to ensure accuracy.
  • Monitoring and analyzing dealer performance, including recovery rates, outstanding funds, and communication patterns.
  • Collecting, maintaining, and inputting dealer contact information.
  • Documenting and analyzing patterns of behavior within a dealer or dealer network to support performance improvement.
  • Attending meetings (Teams or in-office) with external or internal parties for collaboration on coordinator processes.
  • Collaborating with other process areas to ensure quality and efficiency of procedures, including external client contact.
  • Updating various programs with updated and correct data points and information obtained via dealer, provider, or lender.
  • Engaging in and attending program testing with Allied development teams to enhance processes.
  • Utilizing Microsoft platforms to update numerous systems with information obtained via dealer emails and phone calls.
  • Investigating outstanding refunds using various reports and communicating with lenders and dealers via email/phone to obtain them.
  • Conducting dealer recovery with a persistent approach, prioritizing specific lenders and fostering personal relationships.
  • Processing email responses from dealers/providers to obtain refund information and maintain up-to-date program and system information.
  • Fielding incoming dealer customer service calls through AWS, aiming for one-call resolution.
  • Participating in dealer recovery enhancement testing and demos.
  • Researching dealers/providers through various systems to identify underperforming dealers with outstanding refunds, prioritizing high-value amounts.
  • Tracking dealer recovery statistics to provide to management and field teams upon request.
  • Ensuring compliance with state-driven requirements related to product cancellations and fund flow.
  • Multitasking while navigating multiple systems.
  • Working within multiple programs and formats to ensure accurate and efficient fund flow between internal areas.
  • Creating and brainstorming new processes and improvements.
  • Investigating refund and quote statuses to ensure accurate consumer refunds and compliance with state regulations.
  • Conducting research on specific product contract language to properly resolve product cancellations.
  • Reviewing secondary technology platforms to complete research and clear pending cancellations.
  • Researching refund and quote information to identify and correct errors in fund flow, relaying information to external and internal resources to resolve client issues.
  • Researching refunds and entering check/refund information into Accounting programs, directly contacting lenders for check information and research, and researching client credits for process-based errors.
  • Performing other special projects and duties as assigned.
