Responsibilities

  • Acting as gatekeeper to professionals and maintaining relationships with/act as resource for clients, investors, prospective clients and internal employees
  • Managing calendars, schedule appointments, and confirm meetings with investors and clients
  • Arranging travel for professionals, clients and investors, including flights, cars, hotels, and visas
  • Tracking, preparing, and processing expense reconciliations, out-of-pocket reports, and invoices
  • Scheduling conference rooms for internal and external meetings; coordinate supporting technology and refreshments as needed
  • Greeting guests; work with reception to register guests in visitor system
  • Covering multiple phone lines, and communicating with clients as requested
  • Attending team meetings, reviewing agenda with professionals beforehand, taking and distributing meeting notes
  • Sending and drafting email correspondence on behalf of professionals
  • Handling confidential documents and correspondence as requested
  • Tracking and maintaining entry of data and data integrity in a systematic manner through databases including Outlook, Deal Cloud, and Mailings
  • Managing mail merges; create working group lists
  • Managing fundraise schedule and keep deal calendar updated
  • Working with clients on deal books and road shows; managing client budgets for road shows and events
  • Coordinating events and road shows (prepare budgets, find and book venues, negotiate vendor contracts, create invitations and order giveaways) in conjunction with the events team
