About The Position

Skyland Trail, a nonprofit mental health residential treatment program for adults and adolescents in Atlanta, is seeking a Clinical Administrative Assistant. This role coordinates the administrative aspects of the clinical program to ensure resources and communication allow for the most efficient functioning of the clinical team. The position demonstrates customer service and professionalism to the clinical staff and clients.

Requirements

  • Bachelor's Degree
  • Prior experience or training in the mental health or healthcare field preferred
  • Knowledge of CPR and First Aid Procedure
  • Knowledge of emergency procedures for fire, disaster and unplanned incidents
  • Proficiency in Microsoft Word and Microsoft Excel
  • Demonstrates urgency, follow through, and ownership of work
  • Communicates effectively with all stakeholders
  • Exhibits professional conduct at all times
  • Knowledge and ability to enforce HIPAA standards and Skyland Trail Confidentiality Policies

Responsibilities

  • Orders supplies such as therapeutic track specific books and office supplies for breakrooms for the West and Rollins campus.
  • Posts daily appointment sheets around the campus.
  • Completes daily attendance sheets and posts them at the front desk every morning.
  • Sends out level of care changes emails for the clinical team to ensure efficient tracking of clients through the level of care system.
  • Enters and acquires release of information forms as needed and inputs them into the electronic health record.
  • Sends out a daily census email to appropriate individuals.
  • Completes salesforce data entry in order to track and update referral sources.
  • Completes data entry for UDS results and maintains the weekly and monthly UDS schedule.
  • Sends out the UDS colors with client names each morning.
  • Updates the counselor caseload spreadsheet.
  • Completes client schedules and prints them for clients as needed.
  • Assists with creating and maintaining the group schedule.
  • Assists in searching for group coverage when needed.
  • Assists with staff celebrations - keeps cards for Birthdays, orders incentive lunches/breakfasts, organizes celebrations for important events as assigned by Day Services Directors.
  • Contacts family members as directed by primary counselors to help facilitate scheduling family sessions and other meetings.
  • Attends and completes meeting notes and sends out timely meeting summaries with action items.
  • Attends group supervision weekly.
  • Triage urgent phone calls to the clinical team and find appropriate support.
  • Assists Day Services Directors with monthly audits for primary counselors.
  • Completes monthly credit card statements and inputs into electronic tracking system.
  • Supports the Day Services Coaches in contacting clients who are late/absent to treatment daily.
  • Checks the call out voicemail line each morning and alerts appropriate staff.
  • Keeps handouts stocked in clinical team hallways for all tracks.
  • Keeps group rooms looking presentable and stocked with supplies.
  • Inputs work orders as needed.
  • Other tasks/projects as assigned.
