About The Position

Definiti is a national retirement services company that helps clients manage and administer their retirement plans. We help clients define what's possible and what’s next for their retirement plans. The Temporary Data Specialist will assist with administrative tasks and help maintain the accuracy of our client database. This is a temporary, part-time position at 29 hours per week.

Requirements

  • Strong verbal and written communication skills
  • Keen attention to detail with a high level of accuracy
  • Solid organizational and time-management skills, with the ability to meet deadlines in a fast-paced environment.
  • Sound judgment when making decisions, and operate with discretion and integrity
  • A proactive attitude and a strong desire to learn.
  • HS diploma or GED required
  • 1+ year of CRM experience (HubSpot preferred), including maintaining data in a business system (including data entry, cleansing, and quality checks—not solely clerical typing work)
  • Proficiency with Microsoft Office Suite, particularly Excel required
  • Ability to build rapport with others remotely while working productively with limited in-person interaction
  • Access to a reliable and consistently strong, high-speed internet connection suitable for remote work.
  • Designate a quiet, and well-lit space free of as many distractions as possible
  • Be online and available to work during designated business hours in local time zone
  • Accustomed to using Microsoft Teams (or similar virtual-meeting applications) to meet with colleagues regularly on video and use the chat feature for quick communications.
  • Accustomed with file-storage and file-sharing tools such as Microsoft SharePoint

Nice To Haves

  • Familiarity with Microsoft Teams is a plus

Responsibilities

  • Accurately enter and update client information, account details, and other relevant data into our company databases and systems.
  • Ensure the integrity and completeness of all data by performing regular reviews and audits.
  • Assist with the collection and preparation of client data for entry, ensuring all source documents are properly sorted and organized.
  • Maintain client files and records, ensuring all information is kept confidential and is easily accessible when needed.
  • Provide administrative support to other team members as required, which may include assisting with reports, presentations, and communication.
  • Help troubleshoot and resolve data discrepancies by collaborating with other departments.
