About The Position

Under general supervision, the purpose of this position is to assist schools with FTE student data processing. Position is also responsible for keeping accurate student records for FTE reports and other surveys. To serve as the responsible person for student data FTE reports and surveys within the learning community. Coordinate with county personnel in monitoring and submitting all reports on time.

Requirements

  • High school diploma or GED
  • A minimum of five (5) years previous experience and/or training involving FTE and or student data or any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions.
  • Expertise in Microsoft Office applications such as Excel is desirable.
  • Some related OCPS experience is highly desirable.
  • Requires the ability to evaluate, audit, deduce, and or assess data and/or information using established criteria. Includes exercise of discretion in determining actual or probable consequences, and in referencing such evaluation to identify and select alternatives.
  • Requires the ability provide guidance, assistance, and/or interpretation to others on how to apply procedures and standards to specific situations.
  • Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.
  • Requires the ability to utilize a wide variety of reference and descriptive data and information.
  • Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs.
  • Requires ability to apply principles of influence systems such as motivation, incentive, and leadership. Ability to exercise independent judgment to apply facts and principles for developing approaches and techniques to problem solution.
  • Requires the ability to exercise the judgment, decisiveness and creativity in situations involving a variety of generally pre-defined duties which are often characterized by frequent change.
  • Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds).
  • Tasks may involve extended periods of time at a keyboard or work station.
  • Some tasks require visual perception and discrimination.
  • Some tasks require oral communications ability.
  • Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.

Responsibilities

  • Respond to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.
  • Assist schools with the maintenance of automated student attendance records for FTE reporting.
  • Assist schools with the maintenance of accurate records as related to District budget for staffing purposes based on the master schedule.
  • Assist schools with the preparation and verification of FTE membership/FISH reports.
  • Serve as a FTE data contact person for the learning community.
  • Assist schools with the entry of master schedule data in emergency situations.
  • Assist schools with the maintenance of student demographic and support data (ESE, ELL, Title I, etc).
  • Perform other duties as assigned by the Senior Director - State Reporting.
  • Assists schools with input of student information into software systems to compile student records in emergency situations.
  • Assists schools with maintenance and updating of health and immunization records in emergency situations.
  • Assists schools with the preparation of FTE reports and all survey data.
  • Conducts training sessions for schools in the area of FTE reporting and survey processing.
  • Assists schools with preparing and maintaining documentation required for FTE audits in emergency situations.
  • Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs.
  • Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS.
  • With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.
  • Responsible for timely and accurate information they maintain as part of their job responsibilities.
  • Provide own method of transportation to travel to schools to complete job responsibilities.
