About The Position

This is entry-level data entry and clerical support work in a classification series responsible for entering, verifying, retrieving, and maintaining information from source documents using data entry systems, computer terminals, keyboards, scanners, electronic records platforms, and related office technology. Work involves applying established procedures for entering alphabetic and numeric data, reviewing source documents for completeness, verifying the accuracy of processed information, maintaining basic electronic and paper records, and performing routine clerical tasks in support of departmental operations. Employees are expected to develop speed, accuracy, attention to detail, confidentiality, and familiarity with data quality standards as proficiency increases.

Requirements

  • High School Diploma or equivalent from an accredited institution.
  • Knowledge of general office practices, procedures, filing methods, and recordkeeping standards.
  • Knowledge of basic computer operations, keyboarding, electronic document handling, and standard office software.
  • Knowledge of data entry methods, including entering, verifying, saving, retrieving, and correcting alphabetic and numeric information.
  • Knowledge of confidentiality, privacy, and security requirements related to government records and sensitive information.
  • Skill in accurately entering data and identifying errors, omissions, inconsistencies, or unclear information in source documents.
  • Skill in organizing routine work assignments and maintaining orderly records.
  • Ability to become familiar with and use data entry equipment, computer terminals, keyboards, scanners, printers, electronic records systems, related office technology, and standard office equipment.
  • Ability to learn and follow established data entry procedures, system instructions, and departmental guidelines, and complete the required job-related training in data entry systems, electronic records, confidentiality, or records management.
  • Ability to understand and follow oral and written instructions, including operating procedures, manuals, checklists, and workflow directions.
  • Ability to compare source documents to electronic records, identify discrepancies, and maintain accuracy during repetitive tasks for extended periods.
  • Ability to type or enter data at a speed and accuracy level sufficient to meet departmental standards may be required.
  • Ability to communicate clearly and professionally with supervisors, coworkers, and other internal contacts.
  • Ability to maintain confidentiality and exercise care when handling sensitive information.
  • Ability to establish and maintain effective working relationships with all persons contacted in the course of work.

Responsibilities

  • Enters alphabetic, numeric, and coded information from source documents into designated databases, spreadsheets, case management systems, or other electronic platforms.
  • Reviews source documents for completeness, legibility, and consistency before entering data.
  • Verifies entered information against source documents to identify and correct routine errors, omissions, or inconsistencies.
  • Stays abreast of the established procedures for formatting, coding, indexing, saving, retrieving, and transmitting electronic data.
  • Maintains sequence and control of source documents during data entry, review, and filing processes.
  • Performs basic quality checks to ensure data accuracy, completeness, and compliance with established standards.
  • Reports unclear, incomplete, conflicting, or questionable information to a supervisor or higher level employee for review and instruction.
  • Maintains simple electronic and paper files, logs, records, and tracking documents.
  • Performs routine clerical duties such as sorting, scanning, copying, filing, labeling, and distributing documents.
  • Observes confidentiality and data security requirements when handling sensitive, personal, personnel, financial, or government records.
  • Compiles routine reports, lists, and summaries from entered or verified data to support document processing, recordkeeping, and departmental reporting activities.
  • Performs routine clerical duties, including sorting, scanning, copying, filing, labeling, distributing documents, and using standard office software and equipment.
  • Performs other related duties as assigned.
