About The Position

The Data Entry Clerk will provide administrative and clerical support to the New York State Education Department (NYSED). This position will be responsible for maintaining accurate records, performing data entry tasks, assisting with vendor and lease-related communications, processing invoices, and supporting daily administrative operations. The ideal candidate will have strong attention to detail, organizational skills, and basic proficiency with Microsoft Outlook and Excel.

  • Dependable, organized, and able to work independently while supporting a team environment.
  • High school diploma or equivalent required.
  • Previous administrative, clerical, customer service, or data entry experience preferred.
  • Experience working in an office environment with email, spreadsheets, and document processing is a plus.
  • Authorization to work in the U.S. is a precondition of employment.

Responsibilities

  • Review and monitor the Leasing shared email inbox; respond to basic inquiries and forward correspondence to appropriate staff members.
  • Provide administrative support related to lease management activities.
  • Assist with facilitating work orders through the JIRA ticketing system and coordinate communication with landlords as needed.
  • Answer incoming phone calls, provide basic assistance, and take accurate messages.
  • Perform data entry duties, ensuring information is entered accurately and maintained in departmental records.
  • Update and maintain lease site spreadsheets and tracking documents.
  • Assist with maintaining AED device tracking spreadsheets and related records.
  • Support invoice processing activities, including: Completing payment request forms, Scanning invoice documentation, Submitting payment documentation via email.
  • Communicate with vendors by phone and email regarding: Billing questions and invoice inquiries, Requests for quotes on products or services, General administrative coordination.
  • Maintain organized electronic files and documentation.
  • Perform other clerical and administrative duties as assigned.
