About The Position

A Cvent System Admin serves as a trusted advisor to clients and internal stakeholders, optimizing Cvent configurations to drive efficiency and achieve business objectives. They configure, maintain, and support Cvent while providing strategic consulting and best practice recommendations. This individual will provide support to multiple clients globally, working both independently and collaboratively across internal teams.

Requirements

  • Cvent experience required – Advanced experience working as a Cvent system administrator or implementation support is strongly preferred
  • Minimum 2-4 years of experience in a client-facing technical or project management role, preferably in corporate meetings, event management, or software industries
  • Outstanding communication skills with the ability to tailor messages to various organizational levels; client-facing experience required
  • Strong business and/or technical analysis background with ability to lead teams without direct authority through complex requirements definition
  • Ability to work well under pressure, maintain professionalism in a fast-paced environment, and manage multiple competing priorities
  • Expertise in MS Office productivity tools (Excel, Word, PowerPoint, Visio)
  • Ability to work independently with strong organizational skills, discipline, persistence, and accountability
  • Willingness to work virtually and travel less than 10% of the time
  • Bachelor's degree in Business, IT, or related field (or equivalent relevant work experience)

  • Experience in Life Sciences and Pharmaceutical vertical
  • Experience working in the Event Management industry a plus
  • Ability to diagram process flows and identify opportunities to streamline and improve efficiency
  • General experience in the Event Management industry
  • Experience with API integrations, data management, or workflow automation

Responsibilities

  • Serve as the subject matter expert on all Cvent features and functionality, explaining pros/cons and recommending optimal configurations to meet client needs
  • Develop and maintain technology strategy to ensure Cvent is configured to meet or exceed client goals and objectives
  • Provide insight into best practices and make recommendations to optimize configuration and platform capabilities
  • Understand end-to-end processes to identify opportunities to streamline workflows and gain efficiencies within Cvent
  • Consult on change requests, make recommendations, and implement changes within agreed timeframes
  • Assess potential impacts of new software releases on existing configurations and communicate details to clients
  • Configure all Cvent modules to support new client implementations and ongoing optimization
  • Manage all aspects of Cvent system configuration, including: Configure Cvent per client's specific business requirements
  • Create and maintain meeting request forms to capture key event requirements
  • Perform regular review and updates of libraries, data, and value lists
  • Monitor account workflows and settings
  • Maintain roles and visibility settings to ensure security and data integrity
  • Manage user license consumption and acquisition of additional licenses
  • Facilitate and manage configuration changes to support Cvent out-of-the-box functionality and third-party integrations
  • Diagram process requirements to configuration and workflow specifications
  • Communicate with clients and internal stakeholders to ensure goals, objectives, and SLAs are met or exceeded
  • Coordinate and conduct new user training and end-user retraining as needed
  • Create and maintain training documents, manuals, and self-help tools (FAQs, checklists, on-demand training, etc.)
  • Articulate technical concepts in laymen's terms to ensure clear understanding across all organizational levels
  • Partner with Cvent to support new client implementations by consulting, sharing best practices, and lessons learned
  • Interface with internal technology and operations teams to support activities where meetings technology expertise is critical
  • Ensure client objectives and requirements are conveyed throughout the organization
  • Present internally as an SME on meetings technology and related topics
  • Manage multiple projects with competing deadlines and deliverables
