About The Position

The Herff Jones Cap & Gown team in Arcola, Illinois is seeking a cross-trained Customer Service Support / Order Entry Associate to join our team. This role supports the processing and fulfillment of customer apparel orders by reviewing, entering, verifying, updating, and correcting order details and manufacturing paperwork to ensure complete and accurate production execution. This position also provides operational support through administrative coordination, documentation handling, internal communication, and cross-functional team assistance. This is an excellent opportunity for someone who enjoys detail-oriented work, multitasking, and supporting both customer-facing and operational functions within a collaborative team environment.

Requirements

  • High School diploma or equivalent required
  • 1+ year of customer service, administrative support, order entry, or data entry experience preferred
  • Strong computer skills, including Microsoft Office (especially Excel) and comfort learning new systems
  • Excellent attention to detail and organizational skills
  • Ability to manage multiple tasks and deadlines simultaneously
  • Strong written and verbal communication skills with professionalism and care
  • Effective problem-solving skills and ability to remain composed under pressure
  • Positive attitude, adaptability, and willingness to learn cross-functional responsibilities
  • Commitment to accuracy, teamwork, and delivering excellent internal and external service

Responsibilities

  • Review, enter, and process customer orders received from individual customers, sales professionals, and bookstores in accordance with company policies and product guidelines
  • Verify order accuracy by comparing submitted paperwork against system records, checklists, tracking sheets, price forms, and internal databases
  • Update and correct order details to ensure complete and accurate manufacturing instructions
  • Communicate with Customer Service, Sales Professionals, and internal departments to resolve missing information or order discrepancies
  • Assist with customer deposits, credit card processing, and tax-exempt documentation as needed
  • Support scanning, filing, organizing paperwork, and handling internal/external mailings
  • Assist with stock inventory, collateral order fulfillment, and office supply organization
  • Learn cross-functional responsibilities to support team coverage during vacations, absences, and peak workload periods
  • Maintain a high level of accuracy, urgency, professionalism, and teamwork in a fast-paced seasonal production environment
