About The Position

The Customer Service Representative position provides administrative and general office support and organization to the branch. This role serves as the first point of contact for internal and external customers entering the facility, handling inquiries and directing them appropriately. The position also involves significant coordination with various departments, including Billing, Accounting, and Human Resources, to ensure smooth operations and accurate information flow. Additionally, the role is responsible for processing customer payments, performing collection duties, managing office supplies, and maintaining a clean and organized workspace. A key aspect of the role includes scheduling responsibilities, coordinating technician schedules to maximize efficiency and managing the master schedule for review. Requirements

  • High School Diploma or GED
  • 2 years customer service experience
  • 2 years of professional computer experience
  • 1 year front desk experience
  • Ability to operate a computer and advanced Microsoft Office (Excel, Word, Outlook) experience
  • Valid driver’s license with acceptable driving record
  • Ability to comply with SFS’s Drug and Alcohol policy and Background screening requirements

Nice To Haves

  • 1 year scheduling experience
  • General knowledge of local zip codes and geographic breakdown of the area for appropriate scheduling

Responsibilities

  • Provide customer service to all internal and external customers via phone, email, or in person.
  • Welcome and greet visitors, determine their needs, and direct them to the correct department or person.
  • Disperse all faxes.
  • Communicate with Billing, Accounting, and other front-end Administration regarding COD accounts, on-hold accounts, and other pertinent information.
  • Assist Human Resources with onsite protocol, including sending payroll with correct information prior to the deadline.
  • Communicate any errors without delay.
  • Prepare New Hire materials.
  • Return copies of Human Resources documentation following orientation.
  • Utilize assigned organization systems and assist team members with functionality.
  • Process Certificates of Insurance (COI) and additionally insured requests.
  • Process all incoming and outgoing mail, including preparing ground mail and UPS for pickup, and distributing received mail.
  • Track and order office supplies, submitting requests for approval.
  • Process customer payments.
  • Perform collection responsibilities.
  • Maintain office cleanliness.
  • Process daily open work order reports and coordinate technician schedules to maximize the full shift.
  • Manage the master schedule including all technicians’ schedules and work orders for review by supervisors and leadership.
  • Leverage future scheduling with Accounts Receivable concerns regarding past due accounts.
  • Resolve scheduling conflicts by verifying and/or updating account details.
