About The Position

ProColor is seeking a personable and detail‑oriented Customer Service Representative (CSR) to deliver a legendary customer experience from vehicle intake through delivery. This position serves as the front‑line liaison between customers, insurance partners, and the production team. As a brand ambassador, the CSR ensures every customer interaction reflects professionalism, transparency, and care. The ideal candidate thrives in a fast‑paced environment, enjoys working with people, and demonstrates strong organizational and communication skills.

Requirements

  • High school diploma or GED required
  • Valid driver’s license with a clean driving record
  • Previous customer service experience required
  • Computer proficiency (MS Word, Excel, email systems)
  • Strong work ethic, positive attitude, and team-focused mindset

Nice To Haves

  • Body shop experience preferred
  • Administrative or data entry experience preferred
  • Experience with Mitchell RepairCenter is an asset
  • Estimating experience considered a plus
  • Strong negotiation and objection‑handling skills
  • Excellent verbal and written communication abilities
  • High level of professionalism, discretion, and tact

Responsibilities

  • Deliver an exceptional customer experience aligned with ProColor best practices and LEI performance standards
  • Greet customers and manage vehicle intake and delivery processes
  • Conduct vehicle walk‑arounds; document related and unrelated damage
  • Take photos of vehicle condition and upload documentation into the Business Management System (BMS)
  • Explain the repair process clearly and set expectations with customers
  • Prepare and process intake, delivery, and payment documentation (deductibles, customer pay, etc.)
  • Schedule and follow up on customer appointments based on shop availability
  • Communicate with customers and insurance partners via phone, email, text, and video calls
  • Collaborate with the production and sales teams to ensure timely, high‑quality vehicle delivery
  • Assign work orders to technicians as required
  • Keep the BMS and related systems accurate and up to date
  • Support front office operations, administrative tasks, filing, and data entry
  • Import, verify, and maintain accurate records in accounting systems
  • Maintain a clean, organized, and professional front office environment
  • Comply with all company policies, procedures, and health & safety standards
  • Perform other related duties as assigned
