About The Position

Tailor Made Pest and Wildlife is a locally owned, customer-focused company specializing in safe, effective, and customized pest and wildlife solutions. We are a fast-growing company with big goals, and our office team plays a critical role in driving that growth. We are looking for a high-performing CSR who thrives in a fast-paced environment, communicates confidently, and takes ownership of results. As a CSR, you are the control center of the business. You will manage inbound leads, coordinate scheduling, support technicians, and ensure customers have a seamless experience from first call to completed service. This is not just an admin role — this position directly impacts revenue, customer retention, and daily operations.

Requirements

  • Previous experience in customer service, dispatching, or office operations
  • Strong communication skills (phone, text, and email)
  • Highly organized and able to multitask in a fast-paced environment
  • Comfortable using multiple software systems and learning new tools
  • Problem solver with attention to detail
  • Self-motivated and able to work independently
  • Sales mindset (comfortable converting inbound opportunities)

Responsibilities

  • Answer incoming calls, texts, emails, and web leads quickly and professionally
  • Respond to all inquiries with urgency and confidence
  • Convert inbound leads into scheduled services (goal-oriented)
  • Follow up on missed calls, unsold leads, and previous inquiries
  • Assist customers with service questions, concerns, and scheduling
  • Schedule and optimize technician routes daily
  • Confirm upcoming appointments and ensure agreements are signed
  • Monitor technician progress and communicate delays/ETAs to customers
  • Adjust schedules in real-time to maximize efficiency
  • Collect payments and update cards on file
  • Follow up on past-due balances
  • Maintain accurate customer records in CRM (FieldRoutes, Pest AI, etc.)
  • Manage customer status (active/inactive, service notes, agreements)
  • Support technicians with job details, notes, and updates
  • Monitor job pool and assist with task completion
  • Communicate with team members to ensure smooth daily operations
  • Manage and respond through multiple platforms: Pest AI, FieldRoutes, Baton, Thumbtack, Yelp, and other lead sources, Company email inboxes
  • Complete daily tasks and alerts across all systems
  • Maintain organization across digital files and customer records
  • Leads come first — all new opportunities are handled immediately
  • Work through missed calls, texts, and emails daily
  • Confirm next-day appointments and close gaps in the schedule
  • Stay ahead of technician routes and proactively communicate changes
  • Ensure all communication is cleared by end of day
  • Participate in daily check-ins with leadership
  • This role follows a structured daily workflow and schedule to maintain consistency and performance
