This opening with a growing service-based company is designed as a full-time Customer Service Representative / Dispatcher role supporting both customers and field technicians throughout the day. This position is ideal for someone who enjoys staying busy, managing multiple moving parts, and communicating with both customers and technicians in a fast-paced environment. Requirements

  • Prior customer service, dispatching, scheduling, or office experience preferred
  • Strong communication and organizational skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Comfortable speaking with customers and technicians throughout the day
  • Strong attention to detail and follow-through
  • Computer proficiency and ability to learn Service Titan and QuickBooks systems
  • Dependable attendance and professional demeanor
  • Ability to understand and communicate (talk-read-hear) work instructions

Responsibilities

  • Answering incoming customer calls in a professional and timely manner
  • Scheduling service appointments and gathering detailed job information for technicians
  • Updating customer information and notes within Service Titan
  • Communicating customer concerns, special instructions, and scheduling details clearly to technicians
  • Dispatching and prioritizing service calls based on urgency, technician availability, and customer needs
  • Monitoring technician schedules throughout the day and adjusting dispatching as needed
  • Following up with technicians after jobs regarding parts, returns, purchase orders, and additional scheduling needs
  • Scheduling return visits and documenting notes regarding parts or follow-up work required
  • Sending appointment reminders and confirming prepaid maintenance visits with customers
  • Assisting with miscellaneous office tasks including ordering supplies, stocking break room items, and mailing customer materials
  • Printing and organizing weekly truck inspection reports
  • Assisting with outbound customer calls, pricing support, and additional office projects as assigned
  • Eventually assisting with invoice processing, exporting invoices to QuickBooks, scanning paperwork, and maintaining accurate job records
