About The Position

This role is responsible for ensuring a smooth and timely customs process flow, accurate data entry into operational systems, and tracking/tracing of customs files. The representative will also handle client billing, understand and interpret import/export customs procedures, and transfer customs declaration information. A key aspect of the role involves ensuring compliance with regulations, supporting process improvement initiatives, and participating in AI and automation efforts by identifying manual tasks, supporting AI-enabled tools, and documenting standard operating procedures. The position also requires analyzing trends and performance data, collaborating with cross-functional teams, and providing analytical, documentation, and administrative support.

Requirements

  • Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results

  • Good computer skills (Excel, Word, PowerPoint)
  • Strong interest in data analytics, AI, automation, and process improvement
  • Intermediate to advanced Microsoft Excel skills (data analysis, formulas, pivot tables)

  • Understanding of transportation documentation and terms is a plus
  • Familiarity with data visualization or analytics tools (e.g., Power BI, Excel, Co-Pilot, etc) is a plus

Responsibilities

  • Ensure smooth and timely customs process flow
  • Ensure accurate and timely data entry into our operational system
  • Track and Trace Custom files and reporting
  • Ensure accurate and timely client billing
  • Understand all the elements of the import and export customs Desk Level Operating Procedure and correctly interpret this information to fulfill our customer’s instructions and expectations.
  • Transfer customs declaration information from documents, or other sources into the customs entry system to allow for the build of a valid customs declaration
  • Assist with verification of customs declaration information and the submission of such to the customs authority
  • Ensure compliance at all times to regulations
  • Support process improvement initiatives by analyzing workflows, identifying gaps, and recommending efficiency improvements
  • Participate in AI and automation initiatives, such as: Identifying repetitive or manual tasks suitable for automation, Supporting AI‑enabled tools (e.g., reporting automation, workflow optimization, data analysis support)
  • Help document standard operating procedures (SOPs) and process changes
  • Analyze trends and performance data to support leadership decision‑making
  • Collaborate with cross‑functional teams across the branch to support operational initiatives
  • Provide analytical, documentation, and administrative support as needed
