About The Position

TOTE Maritime Alaska is seeking a highly organized, customer-focused, and detail-oriented Terminal Specialist to join our Operations team in Tacoma, Washington. This role is ideal for professionals who enjoy customer service, logistics coordination, transportation operations, booking management, and problem-solving in a fast-paced environment. As a key member of our team, you will help ensure the seamless movement of freight while supporting customers, drivers, and internal stakeholders. As a Terminal Specialist, you will serve as a primary point of contact for customers, drivers, and internal departments, ensuring efficient booking management, freight coordination, and customer support. You will play a critical role in supporting terminal operations by coordinating shipments, scheduling appointments, resolving customer inquiries, maintaining accurate records, and supporting daily operational workflows. The successful candidate is customer-focused, detail-oriented, organized, and comfortable managing multiple priorities simultaneously.

  • 1-2 years of customer service, transportation, logistics, freight, shipping/receiving, or related experience preferred
  • Experience with web-based applications, transportation software, EDI systems, or e-commerce platforms preferred

Responsibilities

  • Provide exceptional customer service through phone, email, and face-to-face interactions
  • Serve as a primary point of contact for customers, drivers, and internal teams
  • Respond to customer inquiries regarding bookings, vessel schedules, deliveries, pickups, and operational requirements
  • Communicate company policies, procedures, and transportation requirements clearly and professionally
  • Resolve customer and vendor concerns in a timely and effective manner
  • Create, update, and monitor customer bookings to ensure accuracy and timely processing
  • Coordinate deliveries, pickups, and terminal appointments
  • Assign customer bookings to designated Maritime Alaska vessels
  • Monitor shipment activity and booking workflows
  • Support freight movement and daily terminal operations
  • Reconcile yard inventory and maintain accurate operational records
  • Process customer payments and related documentation
  • Monitor and correct web-based and EDI bookings
  • Create temporary organizations and update customer account information
  • Run, review, and audit operational reports to ensure data accuracy
  • Perform accurate data entry and maintain records in company systems
  • Support multiple departments to ensure seamless operations
  • Identify opportunities to improve operational efficiency and customer satisfaction
  • Support process improvement initiatives
  • Maintain accurate documentation and reporting to support business goals
