About The Position

The Customer Service Account Specialist acts as an extension of Sales, managing customer accounts, processing orders, and providing customers with the information they need. The role handles customer inquiries and transactions across multiple channels, supports account reconciliation and billing, and coordinates with Sales, Credit, Supply Chain, and other departments. This is a contract-to-hire position based in Santa Ana, California, with a hybrid workplace arrangement.

Responsibilities

Receive and accurately process customer orders through phone, fax, website, email, and EDI in a fast-paced environment.
Answer customer questions about products, product availability, and pricing.
Reconcile Dealer and National Accounts by auditing transaction records, including freight claims and proof of delivery, and processing credits or debits when needed.
Resolve customer invoice discrepancies and keep accounts up to date.
Apply pricing and discounts to transactions submitted or requested by Sales.
Process transactions involving government entities.
Work with Sales and Credit to ensure programs are implemented properly.
Process, review, and release Delivery Receipts, handling up to 200 or more transactions daily.
Process end-user billing.
Provide online customer support for orders, invoices, credit card payments, and other account information.
Contact customers and release backorders promptly in line with customer requests and corporate policies.
Handle customer complaints appropriately in coordination with related departments.
Partner with Supply Chain to obtain freight quotes, order status, and inbound inventory assistance.
Create customized daily and weekly customer reports using Access and Excel.
Help ensure customers have proper departmental coverage at all times.
