About The Position

The Colorado Clinical and Translational Sciences Institute (CCTSI), a clinical research institute located on the University of Colorado Anschutz Medical Campus, has an opening for a full-time Program Administrator. The Clinical Translational Research Center (CTRC) Program Administrator will provide program support to the CTRC in the areas of new research protocol receipt and routing, protocol lifecycle management (start-up, tracking of key metrics, protocol closeout), tracking and management of key financial metrics, and fee schedule management. This position does not supervise staff. Reporting to the CCTSI Director of Finance and Administration, the position will interact with multiple individuals throughout the CTRC to ensure the smooth flow of research from protocol receipt, through protocol review & approval, to project start-up, and project closeout. This position will also provide general administrative support to other programs of the CCTSI as needed. We are seeking a collaborative, well-organized individual, with an interest in contributing to human health in an academic environment. The successful candidate will be highly organized, communicate effectively, team oriented, and able to work independently as well as collaboratively. This position will be 100% in-person with the option to transition to partial remote work over time.

Requirements

  • Bachelor’s degree in public health, public administration, social/behavioral sciences, physical sciences, nursing, healthcare, finance, accounting, business administration, business, or a directly related field from an accredited institution
  • 3-5 years of professional experience in clinical research setting, academic administrative position, or in an environment that involves the core skills necessary to complete the job responsibilities (protocol review, protocol budget preparation and fee schedule management).
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • Applicants must meet minimum qualifications at the time of hire.
  • Applicants must be legally authorized to work in the United States without requiring sponsorship.
  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.

Responsibilities

  • Receive all new protocols proposing to use the CTRC to conduct the research.
  • Create the electronic structure for the storage and management of protocol documents.
  • Ensure all documents have been properly submitted.
  • Communicate with other CTRC staff and Medical Directors regarding the status of the protocols.
  • Utilize institutional applications (EPIC, OnCore, InfoEd, REDCap) to manage the research protocol lifecycle.
  • Prepare messages to Investigators to communicate the status of protocols and provide formal approval to activate their protocols at the CTRC.
  • Track key CTRC performance metrics.
  • Assist CTRC investigators in the preparation of the protocol budget.
  • Manage the CTRC fee schedule and coordinate the addition of new charge codes and fee changes.
  • Resolve protocol billing errors.
  • Track key financials Metrics.
  • Assist CCTSI Managers with scheduling, graphing metrics (Excel), and other activities necessary to support their programs.
  • General procurement of supplies & materials as needed.
  • Participate in supporting CCTSI events.
  • Other general administrative support as needed.
