About The Position

We are seeking someone recognized for their efficiency, team spirit, and resourcefulness to join our marketing team. If the world of client databases (CRM) holds no secrets for you and your interest in software is as strong as your customer service skills, you are certainly the person we are looking for! Under the supervision of the Marketing Operations Manager, you will be responsible for maintaining and improving the firm’s database to ensure its reliability and accuracy for business development, both at the regional and national levels. This role involves close collaboration with the marketing team, as well as colleagues across the country, lawyers, and legal assistants. The goal: ensuring a more effective and more targeted use of marketing initiatives.

Requirements

  • You have a minimum of three (3) years’ experience managing and analyzing contact or client databases, preferably within a communications or marketing department;
  • You own a degree in Marketing, Computer Science, Management Information Systems, or any other related field;
  • You are proficient in CRM systems and email marketing platforms; you also have experience manipulating data using Microsoft Excel (CSV files, exports/imports);
  • You have strong skills in Microsoft Word, Outlook, and Excel;
  • You are proficient in English and French, both orally and in writing. Bilingualism is required because the person hired will be part of the national compliance team. Therefore, the person will be asked to respond to requests from all our offices in Canada and will be required to prepare notifications in French and English;

Responsibilities

  • You will coordinate, create, and execute end‑to‑end email marketing campaigns, including audience segmentation, list pulls, invitation distribution, and RSVP management for firm events and seminars;
  • You will maintain and ensure the accuracy, quality, and integrity of data within the firm’s CRM database;
  • You will provide training and ongoing support to lawyers, assistants, and administrative staff on CRM software functionality and benefits;
  • You will collaborate with lawyers, assistants, practice groups, and marketing professionals on database management and website support;
  • You will generate administrative reports related to data quality, user adoption, and client segmentation, ensuring consistent accuracy;
  • You will develop and update documentation of CRM procedures and best practices for firm‑wide reference;
  • You will support privacy compliance efforts (CASL, GDPR, POPIA) by ensuring all database activities adhere to firm policies and protocols for data protection;
  • You will partner with the IT department and external vendors to troubleshoot and resolve technical CRM/database issues;
  • You will manage the accurate and timely broadcast of electronic marketing communications;
  • You will respond to internal requests for customized mailings, data reports, and event‑related support.
