The position drives planning, coordination, tracking, and delivery of creative and product development initiatives, partnering with Creative and Product Development leadership from project kickoff through development, approvals, final asset delivery, and launch. The role provides central workflow and project visibility while creative direction, product strategy, and final decisions remain with the relevant team leads.

Requirements

  • 3–5+ years of project management, creative operations, licensing, product development, or consumer products experience.
  • General understanding of licensing production timelines, seasonal development calendars, packaging, style guides, product submissions, legal review, and asset management.
  • Comfort with approval and asset-sharing tools such as Flowhaven, Box, Monday.com, Airtable, or comparable workflow or digital asset management systems.
  • Knowledge of Mac OSX, Microsoft and Google Suites (Word, Excel, PowerPoint, Google Sheets, Google Slides), and Adobe Suite programs (Illustrator, Photoshop, InDesign).
  • Ability to work under pressure and prioritize workload.
  • Ability to work across the needs of a global team.
  • Ability to manage creative budgets.

Nice To Haves

  • Experience in entertainment, toys, kids/preschool, fashion, lifestyle, or another licensed-products environment.

Responsibilities

  • Build and maintain project timelines for seasonal style guides, packaging programs, product development, retail initiatives, and other creative projects; translate milestones into schedules, track dependencies, identify risks, and flag potential delays.
  • Manage the operational flow of creative projects, schedule internal and external reviews, and ensure feedback is consolidated, actionable, and delivered to the appropriate owner.
  • Develop and manage seasonal style-guide calendars covering creative development, agency deliverables, internal and legal reviews, revisions, finalization, and launch; track individual asset types and their status.
  • Work with external agencies and the internal legal team to develop and track proposals, including contract needs, through completion.
  • Track external agency invoices and creative budget spend, monitor whether asset needs remain within budget, and identify potential financial risks.
  • Track artwork development, structural needs, copy, legal requirements, stakeholder reviews, and final production assets.
  • Maintain records of approvals, outstanding comments, revisions, and decision owners.
  • Consolidate feedback from Brand, Creative, Product Development, Legal, Commercial, Retail, and external partners to reduce conflicting direction and unnecessary revisions.
  • Organize, name, version-control, upload, and release approved assets through platforms such as Flowhaven and Box, ensuring teams and external partners use current approved assets.
  • Manage creative timelines and deliverables involving licensees, agencies, vendors, and international partners.
  • Communicate asset availability, deadlines, approval status, and project requirements, escalating creative or product decisions to the appropriate team lead.
  • Serve as the operational liaison across Creative/Product Development, Commercial, Brand, Legal, Retail, and external partners.
  • Prepare project status updates, meeting agendas, recaps, action items, and leadership-level reporting.
  • Work with Creative and Product Development leadership to understand workload, competing priorities, and resource needs; help sequence projects and identify capacity issues.
  • Establish scalable processes, templates, trackers, naming conventions, approval workflows, and project documentation.
  • Conduct project retrospectives and recommend improvements to reduce bottlenecks and increase visibility.
