About The Position

The Circuit Court for Baltimore City is seeking an experienced, energetic, and motivated Secretary with strong administrative, communication, interpersonal, organizational, and computer skills. The Secretary will be a team player, detail-oriented, and able to multitask, supporting the Associate Administrator of the Juvenile Division. This is a Non-Civil Service position with a salary range of $59,863.00 - $72,835.00 Annually, with a hiring salary of $59,863.00 Annually.

Requirements

  • High school graduation.
  • Four years of professionally responsible experience in legal secretarial, legal stenographic, or closely related fields.
  • Expertise that involves progressively responsible secretarial experience as an assistant to an individual dealing with law-related matters.
  • Excellent PC and typing skills utilizing the Microsoft Word suite of programs.
  • Proficient knowledge of grammar and usage, spelling, punctuation, and vocabulary.
  • Ability to work the full-time standard Court work schedule of 8:00 am to 5:00 pm (Monday through Friday) with flexibility to accommodate any necessary early or late activities.
  • Maintain a regular, punctual, and reliable level of attendance.
  • Ability to set priorities, simultaneously process multiple tasks, and maintain a professional demeanor when interacting with court personnel and the public at all times.
  • Ability to utilize the Odyssey Case Management System.
  • Ability to make decisions based on established policies and procedures, experience, and good judgment.
  • Ability to develop and maintain collaborative and professional working relationships with court personnel and the public.
  • Ability to work independently and have a high level of interpersonal skills to handle sensitive and confidential situations.
  • Ability to communicate effectively, orally, and in writing and exercise a high degree of judgment, tact, diplomacy, and competence in dealing with judges, attorneys, court personnel, and the public.
  • Excellent telephone manners and experience dealing with the public while maintaining a calm disposition.
  • Knowledge of secretarial office administrative procedures and knowledge of standard office equipment use and operation.

Nice To Haves

  • Knowledge of the Maryland Electronic Courts (MDEC) system is desirable.
  • Preference for a B.S. or B.A. degree in public or court administration from an accredited university or a paralegal degree from an accredited institution with three years of legal secretarial experience.
  • Previous experience as an assistant to a person in a managerial position, with a minimum of 5 years of experience, is preferred.

Responsibilities

  • Types correspondence, reports, and other documents as required.
  • Orders supplies and materials.
  • Coordinates activities with the Administrative Office regarding any personnel-related issues.
  • Receives incoming calls and assists court-related agencies, attorneys, and the general public, as needed, regarding Court policies, procedures, and operations.
  • Schedule meetings (via Zoom or Teams), prepare agendas, and reserve appropriate meeting space.
  • Assists in a variety of duties related to the court case management system (E-Quest), including creating, maintaining, and monitoring user identification profiles, preparing statistical reports, and training new users.
  • Assists with special projects for the Associate Administrator, as required.
