About The Position

The Washington County Circuit Court in Hillsboro, Oregon, is seeking a Court Operations Specialist to support The Honorable Judge Oscar Garcia at the Washington County Law Enforcement Center. This role involves preparing the courtroom, staffing daily dockets, and operating digital recording equipment during court sessions. The specialist will complete log notes, fill out forms, orders, and judgments, verify pleadings, research case statuses, and enter orders. Responsibilities also include providing courtroom reception, distributing documents, monitoring security, and scheduling remote hearings. In chambers, the specialist will perform data entry, maintain calendars, manage exhibits, prepare orders, proofread correspondence, track cases and documents, manage caseloads, and handle mail and supplies. As the primary contact, the specialist will answer customer questions about motions, rulings, and hearings, and prevent ex parte contact with the judge. Support is provided in person, over the phone, and via email. The position is part of a team and may require working with other judges and their staff.

Requirements

  • High school diploma or equivalent
  • Four (4) years of responsible administrative experience in a moderately complex office or business setting demonstrating the knowledge, skills, and abilities needed for this position
  • Any combination of education and experience equivalent to four (4) years of experience that typically supports the knowledge, skills, and abilities needed for this position
  • Experience performing a variety of clerical or administrative support tasks with strict deadlines in a busy business or professional setting
  • Experience using a variety of software programs to access and input information and to complete various tasks, including coordinating schedules and maintaining calendars
  • Experience providing customer service to a variety of individuals in challenging circumstances
  • Experience explaining processes, procedures, or policies
  • Skill in writing and reviewing documents for accuracy, content, grammar, and punctuation

  • Experience working in a courtroom or in legal administration

Responsibilities

  • Prepare the courtroom and staff multiple daily dockets
  • Operate and monitor the digital recording equipment when court is in session
  • Complete log notes, and fill out forms, orders, and judgments
  • Verify that pleadings submitted to the court are accurate and complete
  • Research the status of cases and enter orders into the record
  • Provide reception for the courtroom
  • Distribute copies of documents
  • Watch for security concerns as needed
  • Schedule and facilitate remote hearings
  • Perform data entry in chambers
  • Maintain multiple calendars in chambers
  • Arrange for the return or disposal of exhibits
  • Prepare orders in chambers
  • Proofread and distribute correspondence
  • Help track cases and documents
  • Manage the assigned caseload
  • Receive and deliver mail, documents, and supplies
  • Answer customers’ questions about pending motions, outstanding rulings, and scheduled hearings
  • Prevent ex parte contact with the judge
  • Provide support in person, over the phone, and through email
  • Work with other judges and their staff to accommodate staffing requirements as needed
