About The Position

Hennepin County District Court is seeking a qualified applicant for a Court Operations Specialist position in the Centralized Records Center. This role operates in a diverse, professional environment that promotes equity. The Court Operations Specialist performs advanced court operations work in the Records Center with limited supervision. This position is highly detail-oriented, requires expert knowledge of court policies and procedures for all court divisions, and involves advanced court operations and case processing. The specialist serves as the subject matter expert and point of contact for staff regarding report management and case processing. A significant portion of the role involves advanced work such as quality assurance, compliance, report analysis, and complex case processing, with a primary focus on staff training for new employees and new processes to ensure accurate and timely case processing. This work requires considerable email, phone, and in-person customer service, independent judgment in a fast-paced environment, and the ability to manage competing demands. The role is expected to perform the full scope of varied clerical work involved in case processing.

Requirements

  • High school diploma or equivalent
  • Two years of experience as a Court Operations Associate or equivalent experience which may include but is not limited to customer service, administrative work, office, and clerical work.
  • Access to reliable internet connection is required (as this position is hybrid)
  • Proficient in Microsoft Office, MNCIS data entry, SharePoint, and other relevant court technologies.

Nice To Haves

  • Knowledge of current cross divisional Court Administrative Process (CAPS), policies and procedures, including processing of financials
  • Experience in leading teams or individuals
  • Experience reviewing work of others for accuracy and providing feedback for corrective action
  • Experience writing job procedures and updating training materials in a clear and concise manner as well as providing technical and procedural training.
  • Experience de-escalating and resolving customer disputes, issues, questions, or clarifying processes.

Responsibilities

  • Generate and maintain daily, weekly, and monthly reports and statistics from multiple sources.
  • Identify issues, sources, and resources, and summarize and present findings, trends, changes, and concerns to the supervisor.
  • Proactively work with employees to correct errors or issues.
  • Serve as a subject matter expert and resource for team members using advanced knowledge of court policies, procedures, and processes.
  • Answer questions, address complex or unique case processing situations, and solve problems.
  • Train new court operations staff on policies and procedures.
  • Provide training to all staff on new or changed/revised policies, procedures, processes, or systems.
  • Prepare training material as applicable.
  • Spot check employee work to ensure understanding.
  • Review legal documents for completeness, adequacy, accuracy, restricted identifiers, and compliance with rules and/or statutes.
  • Determine processing required and take necessary action in accordance with court rules, statutes, and procedures.
  • Maintain and organize division or county resources and materials electronically while utilizing applicable technology.
  • Communicate via phone, mail, and/or e-mail with court partners and customers.
  • Provide input on workflow and process improvements.
  • Make suggestions for improved methods using technology.
  • Serve as a change influencer.
  • Utilize applicable technology (i.e., operating and information systems and/or programs) and office equipment to perform and complete work assignments including advanced financials.
