Requirements

  • High school diploma or equivalent
  • At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents
  • Experience performing a variety of clerical or administrative support tasks with strict deadlines in a busy business or professional setting
  • Experience using a variety of software programs to access and input information and complete various tasks, including maintaining calendars and verifying payment information
  • Experience multitasking by listening and typing at the same time and logging events in real time
  • Experience providing customer service to a variety of individuals in challenging circumstances
  • Experience reviewing documents for accuracy and completeness

Responsibilities

  • Record court proceedings
  • Monitor the recording system while it is in use
  • Create detailed log notes
  • Set up video and telephone conferencing
  • Play DVDs and VHS tapes
  • Monitor attorneys’ use of PowerPoint presentations
  • Troubleshoot technical issues with recording equipment, multimedia systems, wireless hookups, and assisted listening devices
  • Swear in witnesses and jurors
  • Prepare jury seating charts
  • Take juror attendance
  • Provide safety instructions in the event of an emergency
  • Screen phone calls
  • Schedule court dates
  • Verify that fees have been paid
  • Perform real-time data entry
  • Look up information related to cases
  • Prepare a variety of orders, judgments, documents, and forms
  • Process and return exhibits
  • Coordinate with staff at county offices, state agencies, and the Oregon State Hospital
  • Help with training
  • Provide backup coverage for the Judicial Assistant
  • Prepare courtrooms and jury rooms
  • Order and maintain office supplies and equipment
  • Assigned tasks may be changed to accommodate workload and organizational needs
