About The Position

Provides advanced administrative and analytical assistance to the Massachusetts Probation Service or a Trial Court department by collecting, analyzing, and reporting on relevant court or program data. Assists in the implementation of field services operational initiatives. Assists in the management of administrative tasks, such as cash flow management, project management support, or fiscal matters. Updates data in intranet (Courtyard) for the Department and serves as point of contact. Aids in training staff on technologies and procedures and creates training materials.

Requirements

  • Bachelor's Degree from an accredited college or university
  • Three (3) years of relevant work experience, preferably court related.
  • Equivalent combinations of education and experience will be considered for meeting minimum qualifications.
  • Knowledge of modern office equipment and technology, including computers and applicable software.
  • Knowledge of Departmental and court policies and procedures.
  • Knowledge of Project management practices.
  • Knowledge of Website management practices and basic web design.
  • Knowledge of Case Management System (MassCourts).
  • Knowledge of Tableau, MS Excel, SPFF (statistical software)
  • Skill in organization and time management.
  • Skill in conflict resolution.
  • Ability to establish effective working relationships with others.
  • Ability to prepare clear and accurate reports.
  • Ability to maintain appropriate records.
  • Ability to maintain confidentiality of information.
  • Confident communication skills effectively, both orally and in writing.
  • Ability to work independently and follow oral and written instructions.
  • Ability to conduct research.
  • Ability to analyze large sets of data.

Responsibilities

  • Creates dashboards and reports for assigned departments to support operations.
  • Manages, edits, updates, builds pages, and creates content in Mass.gov (external website) with the most up-to-date information.
  • May create surveys, notices, announcements, and newsletters for court staff, attorneys, and the public.
  • Gathers and analyzes data for internal and external purposes.
  • Provides advice on process improvement, new technology, and initiatives.
  • May perform research on specific legal issues and case types.
  • Supports the day-to-day operations of assigned departments.
  • Provides administrative support on projects as needed and assists with trainings for office support staff as needed or requested.
  • Identifies areas for improvement, research, and may collaborate with Grant Unit concerning grant funding, project management and implementation, and liaises with internal as well as external partners.
  • Performs studies and operational analysis of local court practices.
  • Uses analytical skills to identify case management best practices, develops benchmarks for case processing and ensures that communication within the department regarding each is consistent, timely, and accurate.
  • Serves on committees for the assigned court or department as needed.
  • Performs other duties as required.
