About The Position

Performs administrative and technical duties for the Office of the Commissioner of Probation in a variety of areas requiring specialized knowledge of human resources policies, procedures, and HR/CMS information systems. Hiring Coordinator is primarily responsible for supporting the hiring process for appointments made within the Probation Service. The Hiring Coordinator coordinates and performs other administrative duties, including supporting onboarding activities, report generation, and assisting the Probation Service in communicating policy, administrative compliance, and best practices consistent with applicable collective bargaining agreements. This position requires effective communication skills, attention to detail, ability to handle confidential employment matters, and the ability to exercise independent judgment.

Requirements

  • Bachelor’s Degree
  • Four (4) years of related work experience
  • Equivalent combinations of education and experience will be considered for meeting minimum qualifications.
  • Knowledge of HRCMS and payroll functions.
  • Knowledge of MMARS system.
  • Knowledge of Trial Court and State fiscal procedures.
  • Knowledge of Trial Court travel policy and procedures.
  • Knowledge of Modern office procedures.

Responsibilities

  • Supports the processing of various personnel transactions, including workers’ compensation, leaves of absence, paid leave buy backs, allied service compensation, and the approval of paid leave bank time.
  • Generates reports regarding information included in Human Resources Management System (HRCMS) and other databases.
  • May perform personnel transactions and provide information using the HRCMS system and other databases including MMARS.
  • Ensures the accuracy of all Probation Service benefit enrollments in HR/CMS.
  • Assists MPS employees regarding benefits claim issues and plan changes.
  • Respond to both payroll and benefit inquiries from MPS employees such as plan provisions, benefits enrollments, status changes, and retirement, buybacks.
  • Reviews time and attendance and payroll reports and researches issues and recommends solutions to employees.
  • Reviews reports and makes proper adjustments to ensure correct payroll run.
  • Enters, reviews, and processes terminated and retiree buybacks.
  • Participates in the hiring and promotion process regarding Probation Officers and Associate Probation Officers.
  • Communicates with public regarding job postings, position requirements, and the hiring process.
  • Maintains applicant flow databases of pertinent information as needed.
  • Schedules interviews when necessary.
  • Prepares interview materials and provides them to interview committee members when necessary.
  • Coordinates the review and processing of appointment packages for compliance with Personnel Policies and Procedures Manual.
  • Provides information to the Department of Employment and Training and other labor related agencies when necessary.
  • Prepares and maintains employee files.
  • Performs other duties as required.
