About The Position

The City of Aurora is seeking dedicated and collaborative individuals to join their team. This is an exciting time to work for the City of Aurora as they are growing and looking for talented employees. This is a Variable Hour Benefit Eligible (VHBE) part-time position, working up to 40 hours per week for approximately 6 months. The selected candidate will be eligible for Medical, Dental, and Vision Benefits, accrue paid time off, and receive 11 paid holidays. The Court Clerk II performs independent, court-specific, clerical/technical work in accordance with court procedures and policies. This includes preparing and disseminating legal documents, managing court files, and heavy public contact with defendants, stakeholders, and the general public regarding judicial processes. The role involves customer service in person and by telephone, supporting the operations of the Court Services division in the Municipal Court. This position reports to the Court Services’ Supervisors.

Requirements

  • High School Diploma or GED
  • At least two (2) years of clerical and filing experience including dealing with the public and handling telephone calls
  • At least two (2) years of heavy cash handling experience
  • Proficiency in Microsoft Office products
  • Knowledge of business English and math
  • Knowledge of modern office practices and procedures
  • Knowledge of court proceedings
  • Knowledge of court and legal terminology
  • Knowledge of confidentiality requirements regarding court records documents
  • Strong interpersonal and managerial skills
  • Skill in the use of windows-based programs
  • Strong customer service skills
  • Skill in checking information for accuracy and completeness and correcting errors
  • Ability to establish and maintain effective working relationships with employees, all levels of management including executive staff, citizens, and elected officials
  • Ability to handle sensitive situations with tact and diplomacy
  • Ability to communicate effectively both orally and in writing
  • Ability to creatively solve problems, negotiate and handle stressful situations in a positive manner
  • Ability to discern and apply differences between legal advice and explaining court processes
  • Criminal Justice Information Systems (CJIS) certification required within six (6) months of hire
  • NCIC / CCIC Certification may be required

Responsibilities

  • Provides excellent customer service and general information concerning the court to the public.
  • Maintains court record-keeping systems and data integrity, including heavy data entry, updating, and filing of records and documents.
  • Processes incoming juvenile and adult municipal and traffic filings, including new violations.
  • Schedules upcoming court hearings in accordance with the court’s policies and procedures.
  • Reviews and evaluates legal documents, forms, applications, and other information to determine accuracy, completeness, acceptability, or compliance to judicial rules, city ordinances, policies, and procedures.
  • Provides heavy customer assistance including answering questions by phone and in person, directing inquiries to appropriate departments, and operating a variety of office equipment and personal computers.
  • Explains and provides general information on judicial processes and procedures to court personnel, attorneys, law enforcement agencies, and the general public by phone and in person.
  • Receives, processes, and deposits a heavy volume of fines, fees, and related court/filing payments.
  • Balances daily cash drawer, prepares daily closeout for register, and completes all required reports related to receipting of fines, costs, and payments received.
  • Confirms all judicial orders are entered, including warrant cancellations and Personal Recognizance bonds.
  • Files are closed in accordance with Case Management procedures and Judicial orders.
  • Answers multi-line phone system; screens calls, answers questions, and refers callers to appropriate personnel as necessary.
  • Performs written and oral communication with area agencies, the municipal judge, prosecuting attorney, court-appointed counsel, and various legal professionals.
  • Performs written and oral communication with clients and the public.
  • Utilizes document imaging for case files.
  • May handle CJIS related information.
  • Performs other related duties as assigned.
