About The Position

Provides senior level clerical support for the operation of the court. Serves as liaison between the customers, judges, law enforcement, attorneys, and other court personnel, providing general and problem-solving solutions for internal and external personnel. This is an experienced level administrative position capable of carrying out most assignments typical of the position with limited guidance or review. This level would be considered a promotional level and attainable by any incumbents in a work group who demonstrate the necessary knowledge, ability, and performance.

Requirements

  • Thorough knowledge of terminology, procedures, and clerical duties common in court systems.
  • Exceptional researching, problem solving, and customer service skills.
  • Well-developed arithmetic and verbal skills.
  • Skill in using a variety of computer tools, including text and data tools, spreadsheets, and specialized data systems.
  • Ability to communicate effectively with the general public and all levels of court and law enforcement personnel.
  • Ability to organize work, build cooperative work relationships, and determine best processes to accomplish tasks.

Responsibilities

  • Enters cases and case-related data in appropriate system; maintains calendars, bonds, warrants, files, records, and other court-related correspondence.
  • Provides cashiering services for collection of fines, fees, bonds, etc.
  • Researches and completes background requests for criminal and traffic dispositions; provides driver and criminal documentation for identity theft cases.
  • Time stamps, scans, and files documents for the court including probation and plea in absentia cases; transports motions to judge and resets requested cases excluding accident, DUI, FTA, and cases already before a judge.
  • Provides effective customer service to the general public and various governmental agencies regarding judicial procedures, court appearances, trial dates, dispositions, and payment of fines; corresponds with the general public and governmental agencies via phone, fax, mail, and e-mail as needed.
  • Schedules the public for FTA (Failure to Appear) court appearance on a daily basis.
  • Prepares, processes, and files arrest and non-arrest case dispositions; files and processes motions to seal records and open sealed records.
  • Researches old and new criminal and traffic records using various systems.
  • Gives clearance and court error letters to defendants to clear up their license.
  • Examines information presented by the customer, assesses the situation, and finds a solution based on research.
  • Selects from multiple procedures and methods to accomplish tasks.
  • Resolves most questions and problems, and refers only the most complex questions to higher levels.
  • Provides guidance and training as required to associate level, interns, temporary employees, etc.
  • Schedules cases for Court and Judges.
  • Assists the general public in person and over the phone; receives, indexes, and records court case information and/or legal documents.
  • May perform other duties as assigned.
