About The Position

The Utqiagvik Trial Court of the Alaska Court System is accepting applications for a Full-Time Court Case Manager 2 (salary range 12). Under general direction, this position performs a variety of clerical and technical functions in support of court operations. Employees transferring from another State of Alaska agency or applicants with prior legal work experience or education in the legal field may receive consideration for advance step placement. Requirements

  • Graduation from high school or completion of a General Education Development (GED) certificate AND one year of advanced clerical work experience equivalent to a Court Case Manager 1 with the Alaska Court System or an equivalent position with another employer.
  • Graduation from high school or completion of a General Education Development (GED) certificate AND completion of a two-year paralegal curriculum from an accredited institution.
  • A bachelor's degree from an accredited college.
  • Post-secondary transcripts, if using education to meet minimum qualifications.
  • A list of at least three (3) professional references, who have had supervisory authority over you along with their daytime contact phone numbers and email addresses.
  • Copies of your most recent (2) performance evaluations, if available.
  • Applicants must certify that they have a legal right to accept employment in the United States.

Responsibilities

  • Review incoming complaints and petitions for compliance with court rules; open and close all civil cases; receive fees in accordance with rules; accept pleadings for filing or lodging; match pleadings with appropriate case files, screen incoming civil pleadings, check for conformity to court rules; calendar hearings, enter data into the case management system, distribute all calendaring notices, orders, and judgments, ensure the accuracy of data in motion tracking, and route motions and files to the appropriate judicial officer.
  • Assist the public in filing FED actions and petitions for protective orders, review proposed judgments and mathematical computations relating to judgments, review and issue writs of execution and garnishment, and update and maintain Excel spreadsheets for all executed judgments.
  • Draft decrees of dissolution, child custody and support orders, civil protective orders, change of name judgments, and review daily and weekly calendar to ensure civil pleadings are timely processed for court hearings.
  • Review current case management policies and procedures.
  • Stay current with applicable Alaska Rules of Court, Administrative Bulletins, Clerk's Manuals, CourtView Instructions, BI Launch Pad User Guide, and CourtSmart User Guide.
  • Serve as primary in-court clerk for Superior Court Civil cases and as an in-court clerk for all case types as needed, results current hearings, draft log notes and schedule future hearings, communicate hearing results to staff member assigned to case processing for that hearing type to ensure all tasks are completed after hearing.
  • Prepare the courtroom for hearings, unlock the doors, post daily court calendar, test microphones, and recording equipment to ensure sufficient quantities of reference materials, supplies, and forms.
  • Open the Court and announce the entry of the judicial officer.
  • Announce the opening and closing of court proceedings.
  • Review case files prior to hearings for prior and pending actions that may affect the hearing.
  • Call the roll of jurors, track juror attendance, note the presence of jurors on the log notes, administer an oath or affirmation to jurors, witnesses, bailiffs, interpreters, and other appropriate persons, maintain a list of witnesses who testify, mark and maintain exhibits and exhibit lists; identify exhibits offered and admitted, and those that have not been admitted; collect and properly store exhibits; ensure that exhibits have been properly entered into the record; secure exhibits for safekeeping or return to the parties, attorneys, or law enforcement.
  • Answers inquiries and requests from the public, attorneys, and agencies; maintains an adequate supply of court forms for court staff and customers; duplicates hearing audio upon request and performs records searches using CourtView and Trakman; and provides backup coverage and support for other positions within the office.
  • Review jail lists to identify cases requiring arraignment scheduling; opening criminal cases by establishing case files, entering data into the court's case management system, and preparing summonses, warrants, and other court orders as needed; processing petitions to revoke probation by reopening cases, scheduling hearings, performing required data entry, and preparing draft orders; opening and docketing temporarily transferred criminal cases and preparing closed cases for return to the originating court; receipting payments; and providing courteous and professional assistance to customers in person, by telephone, email, and written correspondence.
  • Performing in-court duties for a variety of hearings by ensuring proceedings begin on time, calling the court to order, maintaining accurate courtroom log notes, and monitoring recording equipment to produce a clear and uninterrupted record.
  • Administer oaths to witnesses and interpreters, schedules future hearing dates with the judicial officer and parties, receives and marks exhibits, maintains witness lists, calendars hearings, prepares the courtroom for proceedings, tests recording equipment, reports damaged or malfunctioning equipment to Information Services, and ensures case files and courtroom supplies are prepared and available for all scheduled hearings.
