About The Position

Galapagos Federal Systems, LLC is seeking a motivated, detail-oriented, and highly organized Part-Time Course Registrar / Training Administrator to join our team in support of a U.S. Space Force Delta 7 training support program. This position offers the opportunity to work alongside a diverse team of professionals dedicated to delivering high-quality training that enhances mission readiness and operational excellence. The Part-Time Course Registrar / Training Administrator will provide comprehensive administrative support for classified space intelligence training programs. Responsibilities include coordinating student registrations, maintaining course rosters and training records, coordinating Mobile Training Teams (MTTs), supporting course scheduling, preparing and distributing training materials, processing course completion certificates, collecting and tracking student feedback, and maintaining training documentation. The successful candidate will work closely with instructors, site leadership, students, and Government stakeholders to ensure the efficient planning, execution, and documentation of all training activities while maintaining accuracy, compliance, and exceptional customer service.

Requirements

  • Active TS/SCI security clearance
  • High school diploma or equivalent
  • 3+ years of experience supporting administrative operations, registrar functions, training coordination, event coordination, records management, or similar administrative support functions
  • Experience maintaining course rosters, student records, training schedules, attendance records, and training documentation
  • Experience preparing and coordinating course materials, welcome packets, completion certificates, student evaluations, and feedback forms
  • Experience supporting Department of Defense (DoD), Department of the Air Force (DAF), U.S. Air Force (USAF), U.S. Space Force (USSF), Intelligence Community (IC), or other federal government organizations
  • Experience coordinating with instructors, students, Government personnel, and program leadership
  • Ability to support multiple concurrent courses while managing competing priorities and administrative deadlines
  • Ability to work part-time on-site at Peterson Space Force Base, Colorado
  • Experience supporting classified training environments or secure government facilities
  • Familiarity with security clearance coordination, visit requests, classified facility access procedures, or visitor control processes
  • Experience supporting military education, technical training, or professional development programs
  • Knowledge of training management systems, learning management systems (LMS), or student information management databases
  • Experience administering, assigning, tracking, or supporting training through DAF e-Learning (DAFeL)/Skillsoft Percipio or a comparable Department of Defense learning platform.

  • Associate or bachelor's degree in education, business administration, human resources, records management, training administration, or a related field
  • Training coordinator, administrative support, records management or project coordination certification

Responsibilities

  • Coordinate and administer student registration activities for classified training courses
  • Maintain accurate course rosters, student records, attendance records, and training documentation
  • Support the development and maintenance of course schedules, training calendars, and student enrollment records
  • Prepare, distribute, and maintain welcome letters, course materials, completion certificates, student feedback forms, and other training-related documentation
  • Coordinate with instructors, students, Government stakeholders, and program leadership to ensure the successful execution of training events
  • Track multiple courses, student cohorts, administrative milestones, and deliverables while ensuring deadlines are met
  • Support classroom preparation, training event logistics, and administrative activities before, during, and after course delivery
  • Compile and maintain training records, after-action documentation, and course metrics in accordance with program requirements
  • Assist with security-related administrative activities, including visit requests, clearance verification, and classified facility access coordination
  • Provide professional administrative support while ensuring the accuracy, integrity, and confidentiality of sensitive training information
