About The Position

The Senior Assistant Registrar for Course and Classroom Management manages the Course and Classroom Management functional area within the University Registrar's office, supervising staff and managing the planning and scheduling of courses and academic spaces. Serves as a primary point of contact for faculty, staff, and campus stakeholders on academic scheduling policies, procedures, and systems. Collaborates with the Senior Associate Registrar and offices across campus to support initiatives and ensure equitable access to space and resources.

Requirements

  • Bachelor’s degree and at least four (4) years of experience working within higher education.
  • Experience supervising non-student staff.
  • Experience with student data systems and end-user reporting tools (e.g. Peoplesoft Query, Microsoft Excel, etc.).
  • Experience in the development and/or enhancement of complex computerized records management systems.
  • Excellent written and oral communication skills with the ability to provide information clearly, concisely, and in a logical sequence to a diverse group of constituents.
  • Excellent interpersonal skills and the ability to work collaboratively and effectively with a diverse community of students, parents, faculty, colleagues, staff, and the public.
  • Strong organizational skills and attention to detail. The ability to manage concurrent and competing projects and priorities while maintaining accuracy and meeting deadlines in a fast-paced environment.
  • Ability to work independently and effectively under pressure.
  • Ability to understand, explain, and apply the laws, policies and procedures governing assigned activities within the unit, including protecting the confidentiality of student records.
  • Flexibility in approaching tasks; willingness to contribute efforts towards office- and campus-wide priorities and projects.
  • Strong computer skills with the ability to learn new tools and platforms quickly.

Responsibilities

  • Manages the Course and Classroom Management functional area within the University Registrar’s office and provides direct and indirect supervision of staff; sets expectations, assigns and reviews work, provides ongoing coaching and feedback, conducts annual performance evaluations, and provides opportunities for professional development.
  • Manages the planning, scheduling, and publication of course offerings for each academic term. Supports the production of each term’s course schedule and classroom assignments, helps maintain the course catalog, and independently performs complex scheduling tasks.
  • Serves as the primary information source for faculty, staff, and stakeholders across campus, including the Provost’s Office, the Center for Teaching and Learning (CTL), Instructional Design, Engagement, & Support (IDEAS), and Faculty Senate, regarding academic policies and procedures related to the scheduling of courses and classrooms.
  • Assists the Senior Associate Registrar in negotiations with faculty and academic departments regarding necessary changes due to Provost guidelines, availability of space, and ADA requirements.
  • Manages the scheduling of academic spaces for academic and extracurricular events. Prioritizes events using established guidelines and relays necessary information to the appropriate entities across campus to ensure client needs are met.
  • Directs the development and maintenance of scheduling related systems in consultation with the Senior Associate Registrar. Collaborates with staff within the Registrar’s office, central offices, and academic departments to implement these systems.
  • Coordinates with CTL, IDEAS, and Information Technology (IT) to support faculty and graduate student instructors receiving ADA accommodations and assists in identifying and supporting faculty using innovative resources in classrooms.
  • Provides administrative and technical support to New Student and Family Programs and academic advisors related to course enrollments of incoming students, including managing the systems that reserve space in classes for new first-year and transfer students.
  • Trains staff across the University, including staff in the Registrar’s Office, academic deans, and departmental representatives, in the use of scheduling systems and processes. Keeps constituents abreast of changes that impact the scheduling process.
  • Assists with the implementation of Chancellor and Provost initiatives as they relate to course scheduling. Compiles and relays data to the Senior Associate Registrar on classroom use including classroom contact hours, seat utilization, and curricular distribution.
  • Assists the Senior Associate Registrar in identifying classroom technology needs and innovative instructional resources and makes recommendations when appropriate.
  • Assesses the physical attributes of each classroom; identifies and plans refurbishment or capacity changes; identifies needs for acquiring new classroom space. Works closely with Facilities Planning and Physical Plant, CTL and IDEAS, on these projects and verifies information in the database management systems to support planning.
  • Performs other duties as assigned to meet Department and/or University goals.
  • May represent the Registrar’s Office on campus-wide committees in the Senior Associate Registrar’s absence.
