About The Position

Carnegie Mellon University's Machine Learning Department (MLD) is seeking a Course Administrative Assistant to provide administrative support to 4-5 Educational Assistants (EAs) and the courses they manage. MLD is a leading hub for research and education in artificial intelligence and machine learning, focusing on developing innovative algorithms and models. Requirements

  • High School Diploma or GED required.
  • 3-5 years of experience in administrative support, office management, and data entry.
  • Effective interpersonal, organization, and communication skills.
  • Successful completion of a pre-employment background check.

Nice To Haves

  • Associate’s Degree preferred.
  • Experience in higher education preferred.
  • A combination of education and proven experience from which comparable knowledge is demonstrated may be considered.

Responsibilities

  • Maintain updated documentation for course exam seating charts, including room layout, seat numbers, desk conditions, and A/V status and needs.
  • Securely print, organize, and store course exams.
  • Securely scan, sort, staple, and store exams after they are administered. Pick up and scan ODR/make-up exams.
  • Prepare for exams by organizing A/V requirements and assembling exam boxes with necessary materials such as seating charts, room diagrams, extra TA exam copies, tape, pens, pencils, rubber bands, sanitizer, masks, candy paper, post-its, boxes, carts, adapters, cables, and power supply.
  • Set up rooms, manage catering, supplies for grading sessions, and TA end-of-semester parties.
  • Manage exam storage in EA and faculty offices, and coordinate the secure shredding of exams according to the university-approved schedule.
  • Order, manage delivery, cleanup, and payment for catering for events like TA training sessions, grading sessions, and TA end-of-semester parties.
  • Purchase, manage, and store supplies for poster sessions, including poster boards, easels, lights, electric cables, and pins, and set up the session room based on a diagram.
  • Book meeting rooms for various academic and administrative functions, including EA staff meetings, TA training sessions, Recitations, Exams, TA hours, Grading sessions, Exam viewing sessions, and Poster sessions.
  • Bring exams to exam reviewing sessions and monitor these sessions to ensure students can review their graded exams.
  • Document and improve processes related to all aspects of course administrative organization.
  • Book, pick up, provide with extra batteries, collect, and return course microphones.
  • Purchase and register course technology such as laptops, monitors, mouse/keyboards, headphones, desks, chairs, and iPads, Apple pencils, and technical accessories.
  • Select, order, distribute, organize, store, and manage TA swag.
  • Track down lost course technology devices and accessories.
  • Request and pick up keys for SCS offices/lockers.
  • Handle other items as necessary.
