About The Position

Carnegie Mellon University's Machine Learning Department (MLD) is seeking a Course Administrative Assistant to provide administrative support to 4-5 Educational Assistants (EAs) and the courses they manage. MLD is a leading hub for research and education in artificial intelligence and machine learning, focusing on developing innovative algorithms and models. The department offers undergraduate and graduate programs and fosters a collaborative environment that bridges theoretical research and practical applications. Requirements

  • High School Diploma or GED required.
  • 3-5 years of experience in administrative support, office management, and data entry.
  • Effective interpersonal, organization, and communication skills.
  • Successful completion of a pre-employment background check.

Nice To Haves

  • Associate’s Degree preferred.
  • Experience in higher education preferred.
  • A combination of education and proven experience from which comparable knowledge is demonstrated may be considered.

Responsibilities

  • Maintain updated documentation for course exam seating charts, including room layout, seat numbers, desk conditions, and A/V status and needs.
  • Securely print, organize, store, and manage course exams.
  • Securely scan, sort, re-staple, and store exams after grading, including ODR/make-up exams.
  • Prepare for exams by organizing A/V requirements, seating charts, room diagrams, extra TA copies, and necessary supplies.
  • Set up rooms, manage catering, supplies, and cleanup for grading sessions and TA end-of-semester parties.
  • Purchase, manage, and store supplies for poster sessions, including poster boards, easels, lights, cables, and pins.
  • Book meeting rooms for various departmental activities such as EA staff meetings, TA training, recitations, exams, TA hours, grading sessions, exam viewing, and poster sessions.
  • Bring exams to exam viewing sessions and monitor the process to ensure students can review their graded exams.
  • Document and improve processes related to course administrative organization.
  • Book, pick up, provide batteries for, collect, and return course microphones.
  • Purchase and register course technology such as laptops, monitors, mouse/keyboards, headphones, iPads, Apple pencils, and technical accessories.
  • Select, order, distribute, organize, store, and manage TA swag.
  • Track down lost course technology devices and accessories.
  • Request and pick up keys for SCS offices and lockers.
  • Handle other administrative tasks as necessary.
