About The Position

This position is at the Santiam Correctional Institution (SCI) within the Oregon Department of Corrections, supporting the Correctional Rehabilitation Unit (CRU). The CRU focuses on programs and services to help adults in custody build skills, access resources, and prepare for successful reentry. The Office Specialist 2 will be central to daily operations, ensuring the smooth functioning of Correctional Rehabilitation Services and supporting institutional operations through administrative and reception duties. This role serves as the primary clerical support to the Correctional Rehabilitation Manager, contributing to organized, responsive, and efficient operations. Responsibilities include assisting callers and visitors, preparing correspondence, reports, and confidential materials, processing purchasing requests, tracking purchase orders via the AFAMIS system, maintaining data, managing supplies, coordinating mail, and ensuring accurate and secure record-keeping. The role is ideal for someone who enjoys variety, organization, teamwork, and attention to detail.

Requirements

  • Two (2) years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR An associate degree in any field; OR An equivalent combination of education and experience.
  • Experience providing administrative or clerical support in a fast-paced office or institutional environment.
  • Strong verbal and written communication skills, with the ability to handle sensitive or confidential information appropriately.
  • Excellent organizational and time management skills, including the ability to balance multiple tasks and meet deadlines.
  • Customer service skills, especially in managing challenging or sensitive interactions with professionalism.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) or similar tools.
  • Ability to remain calm and professional under pressure.
  • Flexibility and adaptability when responding to changing priorities or unexpected situations.
  • Must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility.

Responsibilities

  • Serve as the primary clerical support to the Correctional Rehabilitation Manager.
  • Process purchasing requests and track purchase orders through the AFAMIS purchasing system.
  • Maintain statistical and program data.
  • Manage supplies and inventory.
  • Coordinate mail distribution.
  • Ensure records and confidential materials are maintained accurately and securely.
  • Welcome and assist callers and visitors.
  • Prepare professional correspondence, reports, and confidential materials.
  • Handle AIC incidents in the employee’s immediate work area.
  • Prevent escapes by controlling keys, tools, and contraband.
  • Document unusual incidents as they occur.
  • Keep sensitive conversations and paperwork confidential.
