Requirements

  • Formal education in arithmetic that includes addition, subtraction, multiplication, division, fractions, decimals & percentages & in reading, writing & speaking common English vocabulary.
  • 1 course or 3 months experience in records management (e.g., record retention, document management, confidentiality).

Responsibilities

  • Assigns inmate numbers.
  • Interviews inmates and enters identifying data into the DOTS Portal system.
  • Pre-screens commitment papers and provides information to BOSC on possible same-day releases and imminent releases.
  • Receives and transfers inmate records to the parent institution, Bureau of Sentence Computation, and Central Office Records.
  • Prepares inactive records for shipment to the central warehouse.
  • Audits and stores master records for inmates released under supervision.
  • Coordinates inmate movements to other institutions.
  • Scans documents into the OnBase document management system.
  • Maintains population count to balance with DOTS Portal Snapshot views and the institution Count Officer.
  • Coordinates the physical release of inmates when authorized by BORM.
  • Enters status and reason codes into DOTS Portal.
  • Responds to inmate inquiries.
  • Completes other bureau functions as assigned.
