About The Position

The Corporate Dental Schedule Coordinator is responsible for managing and optimizing provider schedules across all HMC Dental Services, Smile Plus Dental Group and Smile Trust Dental Group locations. This position ensures that every doctor's and hygienist's schedule support the organization's production goals while maintaining excellent patient care and operational efficiency. This role works closely with Front Desk Coordinators, Treatment Plan Coordinators, Office Managers, and providers to minimize open chair time, maximize treatment completion, and improve patient attendance.

Requirements

  • Minimum 1 years of dental scheduling or front office experience preferred.
  • Experience with Open Dental preferred.
  • Knowledge of dental terminology and treatment sequencing.
  • Understanding dental insurance and treatment planning.
  • Strong organizational and analytical skills.
  • Excellent communication and customer service.
  • Ability to manage multiple schedules simultaneously.

Nice To Haves

  • Bilingual (English/Spanish) preferred.

Responsibilities

  • Maintain and manage provider schedules across all dental offices.
  • Ensure schedules are built according to corporate scheduling protocols and production goals.
  • Monitor the production column for every provider and make adjustments to maximize daily productivity.
  • Fill open chair time by utilizing ASAP, unscheduled treatment, recall, and short-call patient lists.
  • Monitor cancellations, no-shows, and last-minute schedule changes throughout the day.
  • Coordinate schedule of changes between providers and offices when necessary.
  • Review daily and future schedules to ensure production goals are met.
  • Monitor schedule utilization and identify opportunities to improve provider productivity.
  • Work closely with office teams to maintain productive schedules with minimal downtime.
  • Generate reports related to scheduling performance, cancellations, and schedule utilization.
  • Review every appointment that was not completed as originally scheduled.
  • Verify why treatment was not completed.
  • Determine whether the appointment was changed by the Front Desk, the provider, or the patient.
  • Document the reason for every missed or incomplete treatment.
  • Ensure patients who require additional treatment are rescheduled promptly.
  • Contact patients with incomplete treatment plans.
  • Reactivate overdue patients.
  • Schedule pending treatment according to clinical priorities.
  • Confirm appointments and ensure patients are prepared before their visit.
  • Collaborate daily with Front Desk Coordinators, Treatment Plan Coordinators, Office Managers, and providers.
  • Assist offices with schedule optimization and workflow improvements.
  • Report scheduling concerns and trends to the Regional Dental Manager.
  • Ensure compliance with all corporate scheduling policies.
