About The Position

Acadia Healthcare is seeking a dynamic and results-driven Corporate Project Admissions Director to support and travel to Acadia admissions departments nationwide. In this role, you will act as the Admissions Director at facilities experiencing vacancies. Your responsibilities will include identifying gaps in the admissions process, recognizing training needs, and implementing actionable strategies to ensure a smooth and efficient admission process for new patients. This position is ideal for existing Admissions/Intake Directors or highly experienced Team Leads/Admissions Staff with prior supervisory experience in an acute psychiatric hospital setting, focusing on mental health and substance abuse services.

Requirements

  • Master’s degree in psychology, counseling, social work (clinical field) or RN license.
  • 3+ years of Behavioral Health Admissions experience.
  • Senior Leadership or management experience in an acute admission setting.
  • Ability to travel to US-based Acadia Facilities (100% of the role).

Responsibilities

  • Travel to Acadia facilities to serve as the Project Admissions Director and work with front-end operations staff (100% travel).
  • Define and measure individual admissions-related goals at each facility.
  • Support and train facility admissions departments to meet or exceed admissions-related performance goals, including ADC, number of admissions, conversion rate, client service productivity, and staff engagement.
  • Coach and develop facility admissions departments to build and manage effective, high-performing teams.
  • Develop and oversee admissions-related processes, systems, and reporting in accordance with facility needs and company standards.
  • Support facility admissions teams in building and maintaining relationships with internal and external stakeholders.
  • Participate in company initiatives to improve admissions capabilities and establish standards and best practices.
  • Assess and identify gaps and opportunities to improve facility admissions operations and key performance indicators.
  • Evaluate facility admission departments' overall functions using standardized tools.
  • Utilize corporate and facility telephonic reports to identify and improve admission departments' call data metrics.
  • Observe, assess, and improve the facility's pre-admission process from initial contact to physical admission for efficiency.
  • Provide key support in improving admissions-related processes, systems, and reporting.
  • Ensure daily/weekly/monthly inquiry volume targets are met through monitoring various channels and initiating outreach.
  • Ensure inquiry calls are followed up on promptly and worked to completion with urgency.
  • Monitor facility admissions staff productivity and performance using CRM and adjust processes, schedules, and workloads.
  • Use CRM reports and dashboards to monitor progress and identify issues needing corrective action.
  • Regularly review and assess processes to identify areas of need or redundancy.
  • Educate and train staff on the prior authorization process, ensuring timely completion.
  • Collaborate with the Business Office Director to integrate financial counselors and ensure benefit verification.
  • Determine causation and trends for upfront denials, providing recommendations for process improvement.
  • Ensure proper use of admissions-related technology (Medhost, Wellsky, Salesforce, Concord fax, etc.).
  • Evaluate admissions for compliance with mandatory policy, procedures, and regulatory requirements (e.g., EMTALA).
  • Ensure onsite Admissions Directors regularly coach and develop admissions staff for improved conversion and customer service.
  • Monitor all faxed/phone referrals, ASC handoffs, and webforms for efficient response times.
  • Listen to inquiry calls and review call notes/inquiry records for coaching opportunities.
  • Review admissions staff performance data to identify areas for improvement.
  • Conduct individual coaching and feedback sessions with admissions staff.
  • Conduct regular staff meetings and team-building exercises.
