About The Position

The Corporate Governance Specialist is responsible for the development, maintenance, and governance of enterprise-wide policies and records management practices. This role supports organizational compliance, risk management, and operational consistency by ensuring that documentation and records are accurate, current, and aligned with regulatory requirements and internal standards. The Specialist works under minimum supervision and partners closely with Legal, Compliance, Risk Management, and business units to ensure effective information governance and adherence to approved policy and records management frameworks.

Requirements

  • Bachelor’s degree required.
  • Minimum of five years of experience in policy administration, records management, or a related compliance function required.
  • Familiarity with ARMA principles or other recognized records and information management frameworks.
  • Strong knowledge of SharePoint, Teams and OneDrive and proficiency in other Microsoft tools.
  • Working knowledge of records retention principles and information governance practices.
  • Strong written communication and document management skills.
  • Ability to work effectively with cross-functional stakeholders and senior management.
  • Ability to negotiate and settle conflicts.
  • Ability to research rules and regulations.

Nice To Haves

  • Business Administration, Information Management, Library Science, or a relevant discipline preferred.
  • Experience in a regulated industry such as utilities or government preferred.
  • Professional certification such as Certified Records Manager (CRM) or Information Governance Professional (IGP) preferred.

Responsibilities

  • Monitor compliance with approved policies, and records management standards.
  • Participate in internal audits, regulatory examinations, and compliance assessments.
  • Identify documentation and information governance risks and recommend corrective actions.
  • Develop and maintain training materials and reference guidance related to policies and records management.
  • Serve as a subject matter resource to employees and management on documentation and record-related matters.
  • Partner with process owners to ensure the accuracy, availability and timely reviews and updates of corporate policies.
  • Oversee and provide guidance to policy owners to ensure the proper review, revision and maintenance of corporate policies in accordance with established governance standards.
  • Ensure version control, documentation accuracy, and adherence to required review cycles.
  • Contribute to the success of the Enterprise Records Management and Information Management (RIM) program.
  • Apply and maintain records retention schedules in accordance with legal, regulatory, and business requirements.
  • Provide guidance to Records Coordinator and Records Custodians on the identification, retention and disposition of records.
  • Provide training and training materials to support the proper use of records management tools, processes, and storage repositories, as well as related best practices.
  • Support Legal and Compliance on litigation holds and audits.
  • Problem solve and identify and address small issues before becoming large.
  • Suggest process improvements utilizing benchmarking and trade industry research.
