About The Position

Lightspeed is a dynamic, innovative, global, and fast-paced technology company. At Lightspeed, we are shaping the future by building a great People and Culture team. We are looking for a People and Culture Coordinator to join our Montreal or Toronto team. Reporting to the Principal HR Business Partner, the incumbent will support the daily operations of the People and Culture functions to ensure the organization and efficiency of our department. The successful candidate will be the right-hand person for HR Business Partners, as well as members of the Payroll and Benefits, and Operations departments. They will contribute to the complete administration of the employee lifecycle, from onboarding sessions to HRIS data integrity and reporting.

Requirements

  • Proven experience in human resources, administration, or as an executive assistant.
  • University degree or equivalent experience.
  • Discretion and commitment to confidentiality.
  • Ability to use or learn a variety of programs, including Google Drive, Workday (HRIS), Greenhouse (ATS).
  • Advanced proficiency in Excel
  • Experience with Canadian and US compliance and employment laws.
  • Sense of urgency and excellent time management and organizational skills.
  • Strong written and oral communication skills in English, with French being a major asset.
  • As a global company with employees and clients outside of Quebec, proficiency in English as a working language is required for this position.

Responsibilities

  • Provide support and administration for the employee lifecycle for a given region (hiring documents, employee onboarding, changes in position or salary, employee profile updates, leave management, vacation, and terminations) by participating in the preparation of documents and letters, tracking and processing information, and maintaining electronic records.
  • Participate in the coordination of employee programs, including training, recognition, diversity, equity, and inclusion, volunteer, and wellness programs.
  • Perform verification of information and system content to ensure data integrity while maintaining strict confidentiality and relying on our internal control mechanisms.
  • Create and reproduce documentation for current and future processes and workflows related to the employee lifecycle, HR data, systems, and technologies.
  • Proactively identify, recommend, and take initiatives to improve processes and workflows that will enable us to evolve and support our high-growth objectives.
  • Support global compliance efforts in close collaboration with our legal team.
  • Respond to verification or information requests from finance, legal, internal audit, or external auditors.
  • Provide general administrative support to the HR team and take on special HR-related projects as needed.
