Requirements

  • University degree or college diploma in project management, administration or a relevant field
  • A minimum of 2-3 years experience in coordination, customer service or a related field
  • Ability to work with tight deadlines and manage pressure and priorities
  • Good analytical skills and demonstrate rigor and attention to detail
  • Resourcefulness and autonomy
  • Excellent communication and negotiation skills
  • Mastery of current Office software (Word, Excel, PowerPoint, Outlook)
  • Ability to collaborate with a multidisciplinary team
  • Proficiency in both official languages at a high level, both oral and written
  • Act with diplomacy
  • Highly developed organizational skills

  • Strong relational and interpersonal skills

Responsibilities

  • Follow up on procedures and all administrative needs related to integration projects
  • Be in constant communication with project managers and representatives
  • Act as a liaison and motivator with internal departments and external clients as needed
  • Organize and facilitate start-up meetings
  • Analyze bids, make adjustments as needed (validation of cost and selling prices as well as labor)
  • Validate and transfer bids into orders
  • Create projects in various software: D365, Jetbuilt, Salesforce
  • Ensure the classification of all documents relevant to the project (supplier bids, customer purchase orders, etc.)
  • Maintain and update project tracking databases
  • Follow up on orders with various internal departments and suppliers (management of deliveries, estimated lead times, etc.)
  • Create delivery notes as needed
  • Add the required material and accessories to the orders to ensure that the team has all the necessary material to properly execute the project
  • Produce various documents required for international transport (packing request)
  • Follow up on change notices – anticipate and provide solutions to schedule, labor and budget problems that may arise
  • Follow up on the progress of projects
  • Ensure file management (project invoicing and subcontractor invoicing)
  • Constantly monitor the budget, scope of work, schedule and quality throughout the life cycle of the project
  • Carry out the necessary administrative follow-ups for the closing of projects with the different departments involved (e.g.: accounts receivable and payable)
  • Collaborate with the various stakeholders to ensure exemplary customer service
