About The Position

We are looking for a bilingual project coordinator to support the execution of international projects involving logistics, contractual administration, supplier coordination, documentation, and project reporting. The position includes a significant logistics component, while also supporting the project manager in commercial follow-up, supplier coordination, project administration, and internal and external communications. The position will be divided approximately as follows: 40% Logistics Coordination, 25% Contractual Administration and Commercial Follow-up, 20% Supplier, Subcontractor, and Inspection Coordination, 15% Documentation, Reporting, and Project Administration.

Requirements

  • College diploma or bachelor's degree in logistics, supply chain, international trade, business administration, project management, engineering, or a related field.
  • Minimum of 3 years of experience in project coordination, logistics, contractual administration, procurement, or support for international projects.
  • Excellent organizational skills and ability to manage multiple priorities simultaneously.
  • Good follow-up skills, attention to detail, and professional communication.
  • Proficiency in Microsoft Office, including Excel, Word, Outlook, Teams, and SharePoint.
  • Fluency in French and English, both spoken and written, is required.

Nice To Haves

  • Experience with international shipping documents, supplier coordination, project documentation, and contractual follow-up is considered an asset.
  • Basic understanding of purchase orders, invoices, Incoterms, export/import documents, payment milestones, and contractual deliverables is considered an asset.

Responsibilities

  • Coordinate international shipments with suppliers, freight forwarders, customs brokers, inspection agencies, clients, and internal teams.
  • Track the preparation of shipments, packaging details, export documents, customs clearance, and delivery status.
  • Review and track shipping documents, including packing lists, commercial invoices, certificates of origin, inspection documents, and transport documents.
  • Support the project manager in tracking purchase orders, contractual requirements, payment milestones, warranties, delivery obligations, and change requests.
  • Follow up with suppliers on manufacturing progress, technical documents, commercial documents, inspection readiness, and delivery commitments.
  • Coordinate inspection-related activities, including inspection invitations, inspector documents, schedules, and inspection reports.
  • Maintain tracking spreadsheets related to logistics, procurement, documentation, inspections, payments, deliverables, and open actions.
  • Prepare project updates, meeting minutes, follow-up emails, correspondence with clients/suppliers, and internal reports.
  • Coordinate with engineering, procurement, finance teams, logistics partners, suppliers, inspectors, and clients to support the successful execution of projects.
  • Ensure proper filing, traceability, and confidentiality of sensitive commercial, logistical, and project information.
