About The Position

The Coordinator provides coordination support for daily operational and ad-hoc tasks within the pCPA’s Deputy CEO division, providing administrative services to support the pCPA management and/or employees. This role may also assist the division with projects related to developing and implementing pCPA’s strategic goals, operational planning, quantitative approaches to pharmaceutical negotiations, measurement and metrics management, systems, policies, and practices.

Requirements

  • Secondary education with at least 3 years of relevant work experience supporting a management position.
  • Exceptional written and verbal communication skills in English are required.
  • Proficiency in Microsoft 365
  • Proven problem-solving abilities, adaptability, and astute judgment in analyzing situations and recommending solutions.
  • Exceptional abilities in time management; organizes work duties and sets priorities.
  • Ability to comply with the pCPA’s confidentiality and privacy policy when handling confidential or sensitive information.
  • Ability to build and maintain effective working relationships with all partners.
  • Strong attention to detail and drive for accuracy.
  • Commitment to continual learning and a drive for intellectual curiosity to innovate and improve.
  • Extensive skills in schedule management and meeting coordination.
  • Effective written and verbal communication skills.

  • Experience working in a government or regulatory organization is an asset.

Responsibilities

  • Opens, organizes, and logs incoming and outgoing correspondence to ensure timely response within established deadline standards. Follows up as required to gather additional information or materials as requested. Assists management in preparing responses.
  • Coordinates the distribution, review, and tracking of items related to pCPA negotiations.
  • Administers “bring forward” systems that enable management to track action items, including projects, correspondence, and meeting minutes.
  • Responds to incoming enquiries and provides basic information based on the pCPA’s mandate, services, priorities, and procedures, and general knowledge of the organization; or refers inquiries regarding information, documentation, and assistance to other pCPA employees.
  • Composes and produces various reports, meeting minutes, and presentations using various software applications.
  • Provides general administrative support services for the division, including maintaining electronic filing systems, archiving materials as per record schedules, updating contact and mailing lists, maintaining procedure manuals, and ordering supplies.
  • Schedules meetings for the division’s management and staff.
  • Organizes events and meetings of partners, management, and staff, including preparing agendas and compiling and distributing related background material as appropriate.
  • Coordinates venues, travel, accommodation, catering, and other reservation requirements as required.
  • Supports division-specific processes and activities.
  • Develops, maintains, and follows established record of decision processes.
  • Builds and maintains effective contacts within the pCPA network and with other partners.
  • Identifies opportunities for process improvements and contributes to developing and implementing best practices.
  • Stays informed about relevant regulations and compliance requirements related to the division’s activities.
  • Provides support and backup for other coordinators (and administrative assistants, as needed).
