About The Position

The Voyage Service Coordinator will support the in-house reservations and passenger services department, ensuring the best experience for sailors and internal crew members. This is a very busy role where every day will be different. The role requires someone who doesn't mind working with all types of people, can juggle multiple tasks, and is passionate about ensuring smooth operations. This gig is based at VVHQ - our swanky Virgin Voyages Head Office in Plantation, FL, and follows a hybrid work environment with in-person collaboration days on Tuesdays, Wednesdays, and Thursdays, and remote work on Mondays and Fridays.

Requirements

  • 2+ years of prior dispatch functions/experience within the cruise industry or alike industries.
  • Strong verbal and written communication skills.
  • Professional attitude, presentation, and attire.
  • Proficient in the use of Microsoft Outlook, Word, and Excel, and general computer use.
  • Ability to focus on the company’s needs and achieve them.
  • Ability to speak clearly and persuasively in positive or negative situations; listen and get clarification; respond well to questions.
  • Treat people with respect; keep commitments; inspire the trust of others; work with integrity and ethically.
  • Complete administrative tasks correctly and on time.
  • Confident telephone skills and etiquette.
  • Ability to use and/or learn standard software applications and in-house reservation systems.
  • Ability to juggle, prioritize, organize, and follow-up in a timely manner.

Responsibilities

  • Relay, receive, and verify information to and from ships.
  • Report passenger numbers, passenger requests, and questions to ships.
  • Contact hotel, transfer, and port agent partners for reservations and verify confirmations and invoices.
  • Act as a liaison between Cruise Reservations/Sales departments and ship’s staff.
  • Provide timely and accurate information flow and changes to affected departments.
  • Ensure business is accurately booked, communicated, and executed in accordance with Virgin Voyages standards.
  • Handle overflow passenger and travel agency calls from U.S. reservations and group departments.
  • Provide support to team members when they are not available.
  • Perform other duties as assigned.
