About The Position

The City’s Seniors Services and Long-Term Care Division supports Toronto seniors and residents in long-term care homes to have the healthiest, most fulfilling lives possible through exceptional care and services. Vulnerable individuals who reside in the community are supported through adult day programs, supportive housing services, tenancy support and homemakers and nurses services. CareTO is our brand for the culture change we are investing in for the City’s 10 directly operated long-term care homes. Requirements

  • Post-Secondary certificate/diploma in the volunteer management discipline and/or any approved equivalent combination of education and experience.
  • Considerable experience and proficiency in utilizing a variety of software packages including creating and formatting word documents, spreadsheet and database applications.
  • Experience in recruitment, selection, orientation, placement and supervision of volunteers.
  • Experience working with seniors in a healthcare or community environment.
  • Ability to identify programming needs, as well as plan and organize programs.
  • Ability to conduct needs analysis and evaluate programs.
  • Ability to work independently and cooperatively as a member of a multidisciplinary team.
  • Excellent interpersonal skills with the ability to interact with all levels of staff, volunteers, families, residents, etc., in an efficient and diplomatic manner.
  • Ability to communicate effectively both verbally and in writing.
  • Familiarity with government legislation in the area of occupational health and safety.
  • Ability to work evening and weekend shifts as required. Shifts may vary depending on operational needs.
  • Provides care and service for residents and clients with a primary focus on safety, including information, instruction and safe practice.
  • Ability to support the Toronto Public Service values to ensure a culture that champions equity, diversity and respectful workplaces.

Responsibilities

  • Provides input into and administers assigned budget, ensuring that expenditures are controlled and maintained within approved budget limitations.
  • Recruits new volunteers through a of variety methods (i.e. media, volunteer fairs, volunteer centers, community resources, and in home advertising). Recruiting process includes screening of applications, interviewing, reference checks, and matching volunteer to suitable placements
  • Provides orientation and on-going training of volunteers, and staff/family members as required (includes designing training sessions, assessing training needs, presenting training sessions and evaluation of training sessions).
  • Reviews and supports volunteers on an ongoing basis, including follow up of placement and problem solving.
  • Participates in the risk management program of the home by identifying, monitoring, correcting risk situations and educating volunteers
  • Supports the volunteer executive and Youth Council committees and their initiatives, which may vary from Home to Home based on the functioning level of the committee. (i.e. planning and implementing fund raising events, grooming and recruiting for executive members, assisting with budget and financial planning, supporting volunteer run programs such as gift shop, pub and bingo.
  • Liaises between management team and volunteers to ensure issues are addressed and efficient communication takes place.
  • Maintains active involvement in home management team, i.e. Monthly Home management meetings and quality improvement projects/initiatives.
  • Participates in divisional working committee to review policies and issues occurring divisionally. Represent the individual interests of the different long-term care homes as well as the division.
  • Evaluates ongoing volunteer needs of various areas of the home by attending unit and Home management meetings.
  • Provides formal and informal recognition for volunteers (i.e. planning annual recognition event, facilitating annual "excellence in volunteer " award, distributing one year anniversary awards, updating years of service wall, sending thank you notes or verbal recognition as required.).
  • Gathers and processes data related to volunteer activities and other administrative tasks (i.e. inputting volunteer information into tracking system, updating of tracking system on monthly basis, running monthly hours and status reports, annual quality improvement report, bi-annual retention report, quarterly newsletter, promotional flyers, and correspondence.)
  • Builds community relations through liaising with various community services (i.e. Huntington's Society of Canada, CNIB, Churches, Libraries and Community schools).
  • Supports the Toronto Inter-home Volunteer meetings.
