About The Position

This is a temporary 6-month position based in Houston, TX, for a Coordinator Travel. The role involves arranging and confirming travel bookings for internal travelers and external guests, including flights, hotels, ground transportation, and trains. The coordinator will provide travel offers, manage queries and changes, and communicate with stakeholders and suppliers. Responsibilities also include daily crew member reservations, handling ad-hoc issues, auditing invoices, reconciling credit card statements, managing expense claims, and covering requests during other Travel Offices' closing times. Other duties may be assigned by Management.

Requirements

  • High school diploma or equivalent required
  • Minimum two (2) years of work experience in a Travel Agency, Travel Management Company, Airline or Hospitality Industry
  • Minimum two (2) years of experience using a Global Distribution System (GDS), preferably Amadeus and/or Sabre.
  • Working knowledge of ticketing, exchanges, itinerary management, and travel policy compliance.
  • Experience with travel auditing, invoice verification, expense reconciliation, and other travel-related Back-Office accounting processes.
  • Strong organizational skills and the ability to manage time-sensitive travel and administrative responsibilities in a fast-paced operational environment.
  • Relating openly and comfortably with diverse groups of people and cultures
  • Anticipating and balancing the needs of multiple stakeholders
  • Feeling comfortable to work in a team as well as autonomously
  • Have very good communication skills
  • Demonstrated ability to work independently and to take initiatives
  • Be able to identify problems and propose solutions
  • Fluency in written and spoken English, other languages are a distinct advantage
  • Proficiency in Microsoft Office (PowerPoint, Word, Excel, Outlook, Teams)

Responsibilities

  • Arrange and confirm travel bookings for internal travelers and external guests including flight, hotel, ground transportation, train
  • Provide travel offers and assist with travel arrangements to ensure cost efficiency
  • Manage queries and amend travel change requests
  • Communicate by phone and email with internal stakeholders and external suppliers
  • Perform daily crew member flight, ground transportation and hotel reservations
  • Handle ad-hoc issues related to reservations and crew complaints
  • Audit hotel and ground transportation invoices
  • Complete monthly credit card statements reconciliation
  • Manage all types of monthly, business, operational and travel expense claims processed through Travel Services
  • Cover all worldwide ad-hoc requests during other Travel Offices closing times
  • Other duties as assigned by Management
