About The Position

Under direct supervision, this role provides support to the Senior Manager, Operations by coordinating Show-related security and safety operations. Key responsibilities include serving as Staff Coordinator for assigned committees, supporting committee operations and budgets, managing incident documentation and communications, assisting with the Show credential process, and performing related department responsibilities to promote safe, efficient, and well-aligned operations.

Requirements

  • Bachelor’s degree from a four-year college or university plus one to two years of related experience and/or training; or an equivalent combination of education and experience.

Responsibilities

  • Serve as Staff Coordinator for assigned committees (e.g., Medical and Safety Committee), communicating Show policies, management decisions, and operational expectations to committee officers, chairmen, leadership, and volunteers.
  • Provide administrative support and direction to assigned committees, acting as a liaison between the Show and committee leadership regarding responsibilities, policy adherence, and operational needs.
  • Coordinate committee meetings and events, including room reservations, setup, hospitality, audiovisual needs, contracts, and communication with staff, volunteers, and vendors.
  • Coordinate with committee leadership and personnel to order and distribute parking passes and credentials, request supplies and equipment, and prepare correspondence.
  • Coordinate committee budget planning, reporting, and monitoring, and communicate budget status to committee leadership.
  • Support the Senior Manager, Operations in coordinating security personnel for Showtime operations, including scheduling, payroll, and security office coordination.
  • Provide administrative support for emergency planning efforts, including tracking, collecting, and organizing the Crisis Communication Plan and Committee Emergency Action Plan submissions.
  • Track radios, keys, credentials, signage, protective equipment, first aid supplies, and other Security & Safety assets.
  • Process invoices, purchase requests, expenditure tracking, procurement records, and expense reconciliations.
  • Support the Senior Manager, Operations with the annual credential process, including implementation, printing, distribution, tracking, and communications.
  • Monitor department phones and shared inboxes, respond to inquiries, and route information appropriately.
  • Assist with the training, direction, and coordination of seasonal employees, contractors, and volunteers supporting Security & Safety operations.
