About The Position

The Real Estate Tenant Coordinator provides administrative, operational, and project management support to the Real Estate department, including Leasing, Portfolio Management, and New Store Development functions. This position serves as a critical liaison between Real Estate, Construction, Architecture, Finance, Operations, landlords, brokers, and third-party service providers to ensure the successful execution of new store openings, relocations, expansions, and portfolio management initiatives. The role supports senior leadership including the Senior Vice President of Real Estate & Construction, Senior Vice President of Leasing, Vice President of Leasing & Portfolio Management, Directors, and Real Estate Managers. The Senior Real Estate Coordinator is responsible for maintaining project data, facilitating communication across stakeholders, coordinating critical development milestones, preparing executive reporting, and ensuring accurate tracking of real estate activities throughout the store development lifecycle.

Requirements

  • Associate's degree or equivalent professional experience; Bachelor's degree preferred.
  • 2+ years of experience in commercial real estate, lease administration, project coordination, construction administration, retail development, or related fields.
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Experience working with project management systems and databases.
  • Ability to effectively communicate with executive leadership, landlords, brokers, and external business partners.
  • Candidates must be authorized to work in the United States without the need for current or future visa sponsorship.

Nice To Haves

  • Experience supporting retail real estate, commercial leasing, or store development activities.
  • Knowledge of Accruent or similar real estate project management platforms.
  • Experience with GIS, mapping software, or location analytics tools.
  • Understanding of retail site selection, lease administration, or construction processes.

Responsibilities

  • Provide comprehensive support to Real Estate Managers, Directors, Vice Presidents, and Senior Vice Presidents across Leasing, Portfolio Management, and New Store Development functions.
  • Serve as a primary point of contact for landlords, brokers, developers, consultants, and other external stakeholders.
  • Draft, prepare, and distribute proposal letters, confirmation letters, and other real estate correspondence.
  • Coordinate and manage departmental documentation, records, reports, and project files.
  • Activate and process approved transactions within the Accruent project management system.
  • Maintain accurate project information and update transaction milestones, approvals, and key development dates.
  • Coordinate construction surveys and support project scheduling activities.
  • Monitor project status and assist in identifying and resolving issues that may impact store opening schedules.
  • Support the administration of new store, relocation, expansion, and portfolio management projects.
  • Coordinate and facilitate weekly executive real estate meetings involving senior leadership, including executive-level stakeholders.
  • Prepare meeting agendas, reports, presentations, and follow-up action items.
  • Maintain and distribute weekly Progress Reports tracking hundreds of active projects across multiple Real Estate Managers.
  • Document project delays, key date changes, and status updates resulting from cross-functional review meetings.
  • Maintain databases and reporting related to surplus retail space, retailer dispositions, and excess space opportunities.
  • Attend weekly meetings with Construction and Architectural teams to review project progress and identify schedule impacts.
  • Ensure project information remains current across all reporting and project management systems.
  • Support initiatives designed to improve departmental processes, reporting accuracy, and project execution.
  • Other Duties as assigned.
