About The Position

The Real Estate Coordinator provides insights to Finance, Accounting, Operations, Facilities, and other internal functional groups to drive Interstate’s real estate strategy, ensuring the completeness, accuracy, compliance, and timely processing of lease payments. This role supports the oversight of all of Interstate Batteries' leases and assists with monitoring all owned properties for potential value opportunities. The coordinator will interact professionally with brokers, landlords, vendors, cross-functional team members, and all stakeholders, seeking to optimize real estate related operating expenses and forecast/budget those expenses accurately. All responsibilities must be carried out in accordance with Interstate policies and applicable regulations, modeling Interstate’s Purpose and Values.

Requirements

  • Bachelor’s degree in finance or accounting, or a similar field preferred.
  • 3-5 years of professional experience preferred, lease experience is a plus.
  • Excellent communication and presentation skills.
  • Solid analytical and problem-solving skills.
  • Strong written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines independently.
  • Effective collaboration skills and ability to work with cross-functional teams.
  • Continuous improvement mindset and ability to identify and execute value-creating initiatives.
  • Proficient in the utilization of Microsoft Office products (Excel, Word, PowerPoint, and Outlook).
  • Proficient in real estate management tools, such as ProLease or similar systems.

Nice To Haves

  • Familiarity with commercial real estate compliance requirements a plus.

Responsibilities

  • Maintain accurate records of lease agreements, renewals, and payment schedules within ProLease, including coordination of new agreements or extensions, general contract analysis, and the calculation and verification of periodic payments.
  • Review, code, and reconcile lease invoices, including Common Area maintenance (CAM) or other-related charges.
  • Ensure invoices are accurate, authorized, and compliant with company policies, including maintaining and updating payment upload spreadsheets for processing to our Accounts Payable team.
  • Act as liaison between internal teams, tenants, and leasing companies regarding payment issues or discrepancies.
  • Support cross-functional stakeholders in the development and execution of Interstate’s real estate strategy.
  • Assist in the calculation and communication of the annual lease, Common Area Maintenance (CAM), and real estate tax liabilities by location as part of the Annual Operating Plan (AOP) build.
  • Partner cross-functionally with Operations, Legal, Risk, Facilities, and Finance to support lease administration and accurate financial reporting.
  • Maintain positive relationships with all stakeholders (including external vendors) and reflect Interstate’s Purpose and Values.
  • Assist in developing and maintaining reporting tools and communication against key initiatives.
  • Contribute to process improvement efforts by identifying potential efficiencies and supporting implementation of approved initiatives.
  • Support achievement of departmental objectives while aligning with broader organizational goals.
  • Participate in or lead other projects and duties as required/assigned.
