About The Position

NeighborHealth, formerly East Boston Neighborhood Health Center, is a large community health center serving the greater Boston area with a commitment to patient and community health. Every role at NeighborHealth is vital in advancing medicine and delivering the best care experience. This full-time position is in the Dental department and reports to the Administrative Director. The Operations Coordinator supports the daily operations of the Dental department through various administrative and practice management functions, aiming to create an excellent patient experience in collaboration with providers, supervisors, and staff. Key responsibilities include managing schedule templates, processing referrals, verifying insurance benefits, and submitting prior-authorization requests. The coordinator also handles incoming calls beyond basic scheduling and manages tasks related to cancellations or clinic closures.

Requirements

  • High School Diploma or equivalent required
  • Bilingual skills required (Spanish/English)
  • Prior work experience in a health care setting (call handling, scheduling, customer service) preferably in a dental clinic
  • Computer skills required
  • Working knowledge of insurance verification processes
  • Demonstrated ability to work cooperatively in a patient/customer centered, fast paced environment

Responsibilities

  • Manages the department’s schedule templates in Epic, including opening/closing and editing individual provider schedules.
  • Manages the department’s outgoing and incoming referrals, including scheduling appointments, submitting supporting documents, and patient outreach.
  • Monitors the department’s referral report and submits prior authorization requests.
  • Participates in the tracking of high-risk patients.
  • Assists with patient flow and waiting room management.
  • Coordinates the department recall/waiting list.
  • Performs a wide range of clerical and administrative duties to support daily operations, such as copying, filing, faxing, correspondence, and responding to record and imaging requests.
  • Coordinates and supports tasks associated with department’s performance improvement projects and compliance with regulatory requirements.
  • Supports onboarding of Boston University Dental Residents, as needed.
  • Handles all incoming calls that Patient Access Coordinators (PACs) are not able to address.
  • Verifies dental plans, benefits, and coverage specific to patients’ treatment plans.
  • Advises patients about out-of-pocket expenses and payment plan options.
  • Coordinates care for patients who need prior authorization for treatment plans.
