About The Position

The goal of the Coordinator of Virtual Programs and Student Retention is to provide leadership and coordination for district virtual learning programs and student retention efforts that support the academic success, engagement, and continued enrollment of students in Berkeley County Schools. The Coordinator works collaboratively with students, families, schools, and district staff to identify barriers to participation, connect families with flexible and appropriate educational options, monitor student progress, and support effective transitions into and within virtual and other nontraditional learning opportunities. The position also supports data-informed retention and re-engagement strategies, strengthens communication with families, and assists with related district initiatives as directed by the Director of Alternative Education, while remaining aligned with Berkeley County Schools’ mission, policies, and applicable West Virginia requirements.

Requirements

  • Master's degree in Education, Educational Leadership, Curriculum and Instruction, Counseling, Student Services, or a related field required.
  • Must possess a valid West Virginia Administrative Certificate or other administrative credential determined appropriate by Berkeley County Schools and the West Virginia Department of Education.
  • Minimum of three (3) years of successful professional educational experience required.
  • Demonstrated ability to establish and maintain effective working relationships with students, families, teachers, school administrators, counselors, district personnel, and community partners.
  • Demonstrated ability to communicate effectively, professionally, and compassionately with families experiencing educational challenges or considering alternative educational pathways.
  • Demonstrated organizational, analytical, problem-solving, and project-management skills.
  • Demonstrated ability to interpret and use student, enrollment, attendance, achievement, and program data to guide intervention and program improvement.
  • Proficiency in educational technology, student information systems, learning management systems, virtual learning platforms, Microsoft Office applications, and collaborative technology tools.
  • Knowledge of applicable federal and state laws, West Virginia Board of Education policies, Berkeley County Schools policies and procedures, and confidentiality requirements related to student records and educational programming.

Responsibilities

  • Coordinate the day-to-day operation and implementation of Berkeley County Schools virtual programming under the direction of the Director of Alternative Education.
  • Coordinate student enrollment, scheduling, course placement, orientation, and transitions into and out of virtual programming in collaboration with schools, counselors, WVEIS personnel, and appropriate district staff.
  • Maintain working knowledge of virtual learning platforms, district learning management systems, WVEIS, and applicable state and district requirements related to virtual education.
  • Assist with required virtual program documentation, reporting, records, and communication with the West Virginia Department of Education and other appropriate entities.
  • Support district efforts to improve student retention, engagement, and continued enrollment by helping identify barriers that may contribute to withdrawal, disengagement, or consideration of educational options outside Berkeley County Schools.
  • Collaborate with students, families, school personnel, and district staff to identify flexible or nontraditional educational options that may better meet individual student needs.
  • Support re-engagement and transition efforts for students who have experienced interrupted enrollment, academic difficulty, attendance concerns, or other barriers to successful participation in school.
  • Assist families in understanding appropriate Berkeley County Schools programs and services that may provide alternatives to withdrawal while respecting each family's lawful educational choices.
  • Monitor student participation, academic progress, course completion, and other available indicators to identify students who may require additional support or intervention.
  • Communicate regularly with students, families, counselors, teachers, and school administrators regarding progress, concerns, expectations, and available supports.
  • Collaborate with appropriate school and district personnel to support the implementation of IEPs, Section 504 Plans, student assistance plans, accommodations, and other required student supports within virtual programming.
  • Assist in coordinating interventions and supports for students who are at risk of course failure, disengagement, or unsuccessful completion of virtual programming.
  • Assist with the development, implementation, evaluation, and continuous improvement of virtual learning and student retention initiatives.
  • Review student participation, performance, enrollment, withdrawal, and retention data to identify trends, barriers, and opportunities for program improvement.
  • Recommend operational improvements, supports, or program adjustments to the Director of Alternative Education based on available data, stakeholder feedback, and identified student needs.
  • Collaborate regularly with the Director of Attendance and Homeschool regarding students and families who may be considering home instruction, withdrawal, or other educational options and who may benefit from information regarding district programs and supports.
  • Coordinate with the Director of Attendance and Homeschool on appropriate family outreach, student transitions, re-engagement efforts, and follow-up while maintaining the distinct responsibilities of each office.
  • Maintain effective communication and collaboration among the Departments of Alternative Education and Attendance and Homeschool, school administrators, counselors, student support personnel, and other appropriate district departments to promote coordinated services for students and families.
  • Assist the Director of Alternative Education with the coordination and implementation of summer learning, credit recovery, extended learning, and other nontraditional educational opportunities as assigned.
  • Support registration, scheduling, communication, student placement, data collection, progress monitoring, and other operational needs associated with assigned summer or extended learning programs.
  • Coordinate the daily work and program functions of staff assigned to virtual programming and provide guidance, support, and technical assistance as appropriate.
  • Facilitate communication and collaboration among virtual program staff, school counselors, administrators, and other personnel involved in serving participating students.
  • Assist with staff orientation, professional learning, program procedures, and implementation of district expectations related to virtual programming and assigned initiatives.
  • Perform other reasonable, job-related responsibilities consistent with the purpose and scope of the position as assigned by the Director of Alternative Education or other appropriate district administrator.
