About The Position

The Chemistry Department is one of the largest departments on campus teaching more than 6,000 students annually with a combined teaching and research budget in excess of $8 million. Work requires physical stamina for such tasks as carrying books, packages and the movement of equipment. Because of the exposure to chemicals, technical expertise and chemical knowledge is necessary but can be attained from a close working relationship with departmental faculty. Position is responsible for managing all shipping and receiving and receives packages from various carriers and truck lines.

Requirements

  • Bachelor's Degree
  • Relevant experience in key job responsibilities
  • Physical ability and eye-hand coordination necessary to use a computer/ laptop/iPad
  • Ability to sit and/or stand in the same position for extended periods at a time.
  • Ability to lift up to 50 pounds.
  • Ability to communicate clearly and effectively through various technology platforms through use of phone, e-mail, instant messaging (ex. Teams), virtual platforms (ex. Zoom), and direct contact with individuals.
  • Advanced in following university and departmental guidelines regarding safety and attention to detail to ensure packages are shipped and received properly.
  • Proficient in Microsoft Excel and Word.
  • Valid U.S. work authorization at the time of hire and maintain that valid work authorization throughout employment.

Responsibilities

  • Maintains a detailed logbook of all incoming packages for the entire Chemistry Department, Biological Sciences personnel working in Choppin Hall and the Shared Instrument Facility [SIF] in the Chemistry and Materials Building, ensuring accurate record-keeping.
  • Notifies recipients promptly when packages arrive and coordinating package pick-up.
  • Obtains signatures on logbooks and packing slips for verification.
  • Uploads and organizes records, including Airgas Receipts, Nitrogen Receipts, Dry Ice Receipts, Federal Express Labels for packages sent, ChemDemo Requests, Templates and other documents, to the Shipping and Receiving shared drive.
  • Selects, assigns, trains, and evaluates subordinate Shipping and Receiving personnel.
  • Interprets and ensures compliance with state and federal property control regulations and advising department members on proper procedures.
  • Plans and supervises the receipt, storage and distribution of supplies, specialty items, and equipment.
  • Operates the dispensing facility for chemicals, dry ice, nitrogen and solvents.
  • Maintains accurate chemical inventory records and oversees the tracking of gas cylinders for all teaching and research laboratories.
  • Ensures inventory accuracy through regular record-keeping and audits.
  • Prepares and manages invoicing for Chemistry and Non-Chemistry faculty, auxiliary staff and other departments purchasing Nitrogen or Dry Ice from the Department of Chemistry.
  • Ensures accurate and timely financial transactions to support departmental operations and interdepartmental collaborations.
  • Serves as backup for all building management needs for Choppin Hall, Williams Hall and the Chemistry and Materials Building.
  • Manages facility operations by placing work orders and coordinating building maintenance.
  • Assists with chemical, asset, and space inventory to support efficient departmental operations.
  • Ensures compliance with all safety regulations to maintain a safe and effective working and teaching environment.
  • Assists in other duties assigned by the Assistant to the Chair.
